Job Title: General Administration Assistant

Department: General Administration

Location: Chennai Factory Unit, Tamil Nadu

Reporting To: Team Lead

Job Purpose

To support factory and office operations by managing administrative tasks, coordinating facility services, and ensuring compliance with manufacturing standards and internal procedures, ensuring compliance, vendor coordination, and smooth functioning of day-to-day factory activities. The role contributes directly to operational efficiency, infrastructure upkeep, and cross-functional support.

Key Responsibilities

1.Administrative Operations

*Manage procurement of consumables, office supplies, factory materials, and service requests.

*Handle petty cash, bill processing, vendor payments, and documentation.

*Organize travel, visa processing, accommodation, and transport arrangements for employees and visitors.

*Maintain accurate records of contracts, lease agreements, vendor details, and facility inventories.

*Oversee onboarding processes for factory staff, expats, and contractual workers & Coordinate logistics for factory meetings, events, and internal engagements.

2.Factory Infrastructure & Facility Support

*Oversee maintenance and upkeep of factory utilities, common equipment, safety systems, and infrastructure.

*Coordinate AMC schedules, vendor visits, and ensure timely repairs.

*Manage service providers for pest control, landscaping, cafeteria, food vendors, housekeeping, security, transportation vendor and waste management.

*Support compliance documentation and readiness for ISO9001, EHS, MES, and internal audits.

*Facilitate site inspections, factory renovations, expansions, and space planning activities.

*Ensure adherence to safety procedures, factory standards, and compliance protocols.

3.Coordination Support

*Schedule and coordinate meetings for site leadership, prepare meeting minutes, and assist in calendar management.

*Draft internal communication, reports, circulars, and presentations.

*Maintain filing systems, documentation repositories, and handle physical/digital correspondence.

*Ensure smooth coordination between HR, Finance, Safety, Production, and external vendors.

Qualifications

*Diploma or bachelor's degree in business administration or equivalent.

*5–7 years of experience in office administration, facilities management, or infrastructure support.

*Basic knowledge of building infrastructure systems and facility operations.

*Proficiency in MS Office (Excel, Word, PowerPoint) and familiarity with facility management tools/software.

*Experience working with vendors, contractors, and facility service providers.

Skills & Competencies

*Strong organizational skills with the ability to multitask and prioritize.

*Excellent communication and interpersonal abilities & Problem-solving attitude and attention to detail.

*Ability to coordinate with multiple stakeholders and manage deadlines & also have knowledge of safety regulations, building codes, and compliance guidelines (preferred).

*Ability to work independently and maintain confidentiality

Job Types: Full-time, Permanent

Pay: Up to ₹1,200,000.00 per year
