disciplined delivery, safety and quality across multisite projects. With leadership

based in Chennai and operations across South India, EKK is scaling governance

and exploring diversification into building construction and select infrastructure

adjacencies.

ABOUT THIS OPPORTUNITY

We are seeking a high energy, detail oriented Executive Assistant (EA) to the

Managing Director (MD). This role acts as the MD's operational

righthand—owning calendars, governance cadence, communication, and

follow through—while coordinating with Projects, Contracts, Finance, HR and site

teams to ensure priorities are executed on time. The ideal candidate understands

an EPC environment, thrives in a fast paced setting, and communicates crisply

with senior stakeholders, clients and government agencies.

WHAT IS EXPECTED OF YOU?

As the EA to the MD, your key responsibilities will include:

 Calendar, Gatekeeping & Briefing – Manage complex calendars; prioritize

requests; prepare daily briefs and talking points; ensure the MD is prepared

for internal/external meetings.

 Leadership Reviews & Governance – Plan weekly/monthly reviews; publish

agendas; capture MoMs; maintain action trackers/OKRs; drive closure with

accountable owners across offices and sites.

 Project & Site Coordination – Consolidate site MIS (progress, safety,

quality, cash, risks); flag delays/variances; coordinate site visits, permits and

logistics; escalate critical issues with data.

 Tendering & Contracts Support – Maintain bid calendar; prepare pre bid

checklists; coordinate documentation with Estimation/Contracts; support

claims/letters and follow ups with clients/consultants.

 Client & Government Correspondence – Draft letters/emails to

NHAI/PWD/PMC and vendors; schedule key meetings; track commitments

and compliance submissions.

 Executive Communication & Decks – Create high impact presentations,

dashboards and board packs; synthesize complex updates into crisp

narratives for internal/external stakeholders.

 Data, Tools & Documentation – Advanced Excel (pivots/lookups), strong

PowerPoint/Word; familiarity with project controls tools (e.g., MS

Project/Primavera) and DMS/SharePoint/ERP workflows.

 Travel & Logistics – Plan domestic travel, site itineraries and

reimbursements; coordinate visitor management and MD led events/townhalls.

 Confidentiality & Compliance – Handle sensitive information with discretion;

ensure adherence to company policies, approvals and statutory timelines.

 Special Initiatives – Assist the MD on timebound projects (transitions, PMO

sprints, process improvements, audits) with measurable outcomes.

 Be proactive, anticipate needs and take ownership—closing loops without

constant supervision.

 Demonstrate meticulous attention to detail with strong planning, prioritization

and follow through.

 Communicate crisply and respectfully across blue and white collar

stakeholders; maintain diplomacy under pressure.

 Be data driven and solution oriented—convert ambiguity into structured plans

and measurable outcomes.

KEY PERFORMANCE METRICS

 Leadership Cadence: % of planned reviews held on time; agenda/MoM

quality; action closure rate within SLA.

 Project Visibility: Timeliness/accuracy of weekly MIS; early warning flags

raised; recovery plans tracked.

 Communication Quality: Clarity and turnaround time of decks, letters and

briefs; stakeholder satisfaction (MD/leadership feedback).

 Bid/Contract Support: Adherence to bid calendar and submission

checklists; documentation accuracy; claim/letter cycle times.

 Logistics & Travel: Ontime travel planning, cost control and reimbursement

accuracy.

 Confidentiality & Compliance: Zero breaches; on time statutory/board

document handling.
