Position Title: Executive Assistant to Managing Director

Location: Bengaluru, Karnataka, India

Reports To: Managing Director

Employment Type: Full-time

Role Summary

You will serve as the trusted executive support to the Managing Director, managing their schedule, communications, travel and key stakeholder engagements, and driving seamless coordination across the leadership office in a high-performance manufacturing/engineering environment.

Key Responsibilities

Manage and optimise the MD's calendar including meetings, travel (domestic & international), itineraries and key appointments.

Act as first point of contact on behalf of the MD (phone, email, in-person) and manage internal/external stakeholder communication.

Prepare and review executive correspondence, presentations, briefing materials, meeting-packs and follow-ups.

Drive action-item tracking, ensure timely execution of deliverables emerging from senior leadership meetings.

Handle highly confidential information with discretion; maintain professional records and documentation.

Coordinate across functions (HR, Finance, Operations, Legal, Communications) and interface with external vendors/partners.

Support special strategic projects and initiatives, often working independently, anticipating needs and issues.

Manage the leadership office expenses, budgets and administrative systems; continuously improve office processes for efficiency.

Educational Background & Experience

BE or M.Tech Or Master of Business Administration (MBA) in Marketing

Minimum 5–8 years of experience as an Executive Assistant or equivalent senior administrative role, preferably supporting C-suite/MD in an engineering/manufacturing environment.

Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (Teams, Zoom, Google Workspace).

Excellent oral and written English communication; Kannada/Hindi ability is a plus.

Exceptional organizational, prioritization and time-management skills; able to handle shifting priorities and multiple tasks simultaneously.

Proactive problem solver, strong judgment, high integrity and professionalism.
