Job Profile: Manager Order Execution System - Diamond Manufacturing and Export Business

Position Overview :-

The Manager of Order Execution System is responsible for overseeing the seamless execution of all customer orders and the comprehensive planning of diamond manufacturing operations. This role ensures timely delivery, quality output, inventory accuracy, and e icient coordination among internal teams (production, logistics, sales, and procurement). The position is crucial in maintaining operational excellence, maximizing resource utilization, and upholding the high standards of the diamond manufacturing business.

Key Responsibilities :-

Order Processing

• Supervise day-to-day order operations: order receipt, verification, and processing.

• Monitor customer orders, ensuring accuracy of information and fulfilment timelines.

• Coordinate with inventory to check product availability and allocate stock to orders.

• Collaborate with sales for pricing, order confirmation, and customer communication.

• Ensure accurate billing, shipping, and documentation for each transaction.

• Oversee the team responsible for order fulfilment, addressing escalations and resolving any order-related issues promptly.

• Implement and monitor standard operating procedures for order processing

Production & Inventory Planning

• Create Indents for procurement to ensure availability of polished inventory and optimal resource allocation.

• Analyse production data to identify and resolve bottlenecks in workflow or process.

• Monitor production performance and adapt plans as required to achieve desired output and quality.

• Regularly review supply chain constraints and adjust planning strategies to address risks or delays.

• Maintain accurate records of raw materials and finished goods; ensure real-time inventory monitoring and reconciliation.

• Present MIS reports to senior management for visibility and decision-making

Cross-functional Coordination

• Facilitate communication between order processing, manufacturing, inventory, and sales teams.

• Coordinate with third-party logistics and vendors to ensure timely shipping and delivery.

• Work with the management team to develop sustainable and agile operating strategies.

• Lead and mentor sta : participate in hiring, training, and performance reviews

Export & Compliance

• Work closely with export administration and logistics teams to manage documentation, customs clearance, and compliance with export regulations.
• Facilitate smooth communication with freight forwarders, insurance agents, and regulatory authorities as required Continuous Improvement & Compliance

• Drive process improvements to increase e iciency, reduce lead times, and enhance customer experience.

• Implement continuous improvement initiatives in order processing and production planning.

• Ensure compliance with health, safety, quality, and data privacy standards relevant to the diamond industry.

Candidate Profile

Qualifications

• Bachelor's degree in Business Administration, Operations Management, Industrial Engineering, or related field.

• 10+ years' experience in order processing and/ or production planning in a multi product, customer driven business.

• Strong leadership, analytical, organizational, and problem-solving abilities.

• Excellent oral and written communication skills and the ability to work cross functionally.

• Proficient in ERP/ order management software and Microsoft Excel.

• Knowledge of supply chain operations, inventory management, and diamond manufacturing processes preferred.
