Role Description

1.     Strategic Procurement Planning and Execution

· Develop and implement strategic procurement plans that align with the organisational goals, focusing on cost optimization, supplier reliability, quality and timely delivery

· Lead the development and execution of procurement strategies to support production schedules, sales forecasts, and overall business goals.

· Continuously monitor market trends, identify new suppliers, and adopt innovations to maintain a
competitive edge and enhance supply chain resilience

Review and approve all purchase orders and contracts
within defined timelines, ensuring strict adherence to procurement SOPs.

· Ensure procurement strategies are aligned with both short-term needs and long-term business objectives, balancing cost efficiency, product quality, risk mitigation, and lead time optimization.

2.     Supplier Management and Relationship Development

· Build and maintain a reliable and cost-effective supplier base to ensure a smooth and consistent supply of goods and services.

· Manage and optimize relationships with existing suppliers, ensuring high standards of performance regarding cost, quality, and delivery.

· Negotiate long-term contracts and favourable terms with suppliers to maximize value for the company.

· Regularly evaluate supplier performance based on key criteria such as delivery time, quality consistency, customer service, and cost.

· Identify and onboard new suppliers to mitigate risks associated with supplier dependence and expand sourcing options.

· Conduct regular supplier audits and performance reviews to identify areas for improvement.

3.     Cost Management and Budget Control

· Develop and manage procurement budgets, ensuring all purchases are within budget and aligned with company financial targets.

· Identify and implement cost-saving initiatives, such as bulk buying, renegotiating contracts, and exploring alternative suppliers.

· Track and analyse procurement-related expenses, identify areas of improvement, and take corrective action where necessary.

· Conduct regular reviews of pricing trends, and assess long-term pricing agreements to ensure competitive pricing is maintained.

· Collaborate with the finance team to provide accurate cost forecasts and variance reports.

4.     Inventory and Stock Control Management

· Work closely with the warehouse teams to ensure stock levels meet production or sales requirements.

· Ensure stock levels are in alignment with production requirements, minimizing inventory holding costs.

· Regularly monitor stock levels and make purchases based on forecasted demand.

6.     Compliance & Documentation

· Ensure that all procurement contracts and agreements are well-documented, legally compliant, and aligned with company interests.

· Ensure compliance with internal procurement policies, legal regulations, and external contracts.

· Ensure all procurement activities are documented accurately and stored appropriately.

· Prepare reports related to procurement activities, including purchase orders, contracts, and supplier performance evaluations.

7.     Reporting and Analytics

· Provide regular reports and analysis on procurement activities, supplier performance, and cost-saving measures

· Prepare weekly and monthly procurement reports for senior management.

· Track and report on key performance metrics such as procurement savings, vendor performance, and purchase order accuracy.

· Provide data-driven insights to help improve procurement strategies.
