The HRIS Master Data Management Specialist is a key member of our global People Shared Services team and serves as a liaison between People and Technology departments, ensuring accurate management and maintenance of global People data across all systems. This role is crucial for maintaining data integrity and supporting HR processes through effective data management.
Role: HRIS Specialist - Master Data Management
Key Accountabilities:
Data Management and Governance:
Collect, update, and maintain data related to employees and organization in HR systems.
- Ensure data updates are based on validated sources such as Global Definitions & Standards, the Global Job Catalogue, and inputs from HR and business stakeholders.
- Support data clean-up project to correct incomplete or outdated employees' records, in collaboration with Head Office and Regional People teams. Apply updates in line with job architecture standards and scope eligibility.
- Validate data entries using global definitions and reference lists of values.
- Extract data from Oracle reports, identify missing or incorrect values, and coordinate with business SPOCs for timely validation.
- Maintain enterprise structures (e.g., legal entities, business units etc) in line with logistics industry standards, in collaboration with Group Technology.
- Act as the global point of contact for People data queries, resolving or escalating issues as needed.
- Perform regular quality checks to ensure data accuracy, consistency across systems, and compliance with data privacy, security, and access control requirements.
- Manage bulk data uploads and resolve any data inconsistencies, tracking changes through a ticketing system.
- Provide ongoing support and training to super users and system administrators to enhance their HRIS knowledge and usage.
- Maintain compliance with data protection laws and internal access control standards.
Document and maintain Standard Operating Procedures (SOPs) for all data processes.
Stakeholder Collaboration: Collaborate regularly with HR, IT, Finance, Legal, and other departments to perform system data checks and ensure alignment across functions.
Compliance and Security : Ensure HR systems adhere to global data standards, access rights, confidentiality requirements, and internal policies. Provide information and support to internal or external audits.
User Trainings & Documentation:
Maintain accurate and up-to-date documentation of systems' procedures and processes.
Maintain weekly project tracker to monitor progress.
Share knowledge with colleagues and provide training to the wider global team as required.
Required Competencies:
Deep understanding of People master data and HR systems in an international, multi-cultural environment.
Proficient in Microsoft Excel, including data validation, cleansing, and spreadsheet management, with additional experience in the broader Microsoft Office suite—particularly Excel and OneDrive—for data analysis and collaboration.
Strong understanding of HR information systems (HRIS) and best practices in data management.
Familiarity with global data protection regulations (e.g. GDPR) and maintaining confidentiality in handling sensitive employee information.
Excellent attention to detail, with a high level of accuracy and strong organisational skills.
Ability to work both independently and collaboratively in a fast-paced, evolving environment while managing multiple tasks and deadlines.
Strong written and verbal English communication skills, with a customer-focused and service-oriented mindset.
Demonstrated project management abilities and experience collaborating with global stakeholders across functions and geographies.
Required Qualification : Bachelor's degree in HR or Information Technology or a related field.
Minimum Experience:
- Minimum of 3-5 years proven experience in large multinational company in HR data administrator role, with expertise in global HRIS such as SAP HCM, Oracle HCM, Workday…
- Experience in Logistics and supply chain industry is a plus.
