Job Title: Receptionist & Executive Assistant

Job Summary:

We are looking for a dynamic and proactive Receptionist & Executive Assistant who can efficiently

manage front-desk responsibilities while providing comprehensive administrative support to senior

management. This is a multitasking role that requires excellent communication, organization, and

time-management skills, along with the ability to handle sensitive information with discretion.

Key Responsibilities:

Reception & Front Desk:

  • Greet and assist visitors, clients, and vendors in a professional manner.

  • Answer, screen, and direct incoming calls promptly.

  • Maintain a neat and welcoming reception area.

  • Handle incoming and outgoing mail and courier services.

  • Maintain visitor logs and ensure guest protocols are followed.

Executive Assistance:

  • Manage calendars, schedule meetings, and coordinate appointments for senior leadership.

  • Prepare and edit correspondence, reports, and presentations.

  • Organize and maintain files, records, and documentation.

  • Handle travel arrangements, including flight bookings, accommodations, and itineraries.

  • Track tasks, follow-ups, and ensure timely completion of assigned activities.

  • Take minutes of meetings and circulate as required.

Administrative Support & Coordination:

  • Coordinate internal meetings and assist in event planning/logistics.

  • Support office procurement and maintain stock of office supplies.

  • Liaise with vendors and service providers for facility-related needs.

  • Handle confidential information with integrity and discretion.

  • Provide general support to ensure smooth day-to-day office functioning.

Key Requirements:

  • Bachelor's degree or equivalent; additional secretarial or administrative training preferred.

  • 5-10 years of relevant experience in front office/reception and executive assistance.

  • Excellent verbal and written communication skills.

  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint).

  • Pleasant personality with strong interpersonal and customer service skills.

  • Strong multitasking ability, attention to detail, and a high level of professionalism.

  • Ability to work independently, prioritize, and handle multiple tasks simultaneously.
