Job Title: Receptionist & Executive Assistant

Job Summary:
We are looking for a dynamic and proactive Receptionist & Executive Assistant who can efficiently
manage front-desk responsibilities while providing comprehensive administrative support to senior
management. This is a multitasking role that requires excellent communication, organization, and
time-management skills, along with the ability to handle sensitive information with discretion.
Key Responsibilities:
Reception & Front Desk:
Greet and assist visitors, clients, and vendors in a professional manner.
Answer, screen, and direct incoming calls promptly.
Maintain a neat and welcoming reception area.
Handle incoming and outgoing mail and courier services.
Maintain visitor logs and ensure guest protocols are followed.
Executive Assistance:
Manage calendars, schedule meetings, and coordinate appointments for senior leadership.
Prepare and edit correspondence, reports, and presentations.
Organize and maintain files, records, and documentation.
Handle travel arrangements, including flight bookings, accommodations, and itineraries.
Track tasks, follow-ups, and ensure timely completion of assigned activities.
Take minutes of meetings and circulate as required.
Administrative Support & Coordination:
Coordinate internal meetings and assist in event planning/logistics.
Support office procurement and maintain stock of office supplies.
Liaise with vendors and service providers for facility-related needs.
Handle confidential information with integrity and discretion.
Provide general support to ensure smooth day-to-day office functioning.
Key Requirements:
Bachelor's degree or equivalent; additional secretarial or administrative training preferred.
5-10 years of relevant experience in front office/reception and executive assistance.
Excellent verbal and written communication skills.
Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
Pleasant personality with strong interpersonal and customer service skills.
Strong multitasking ability, attention to detail, and a high level of professionalism.
Ability to work independently, prioritize, and handle multiple tasks simultaneously.
