About the Role :-

We are seeking a highly organized, proactive, and resourceful Executive Assistant (EA) to the Managing Director. This role requires exceptional multitasking ability, attention to detail, and strong communication skills. The EA will serve as the first point of contact for internal and external stakeholders, manage the MD's day-to-day activities, and provide strategic and operational support in running the business efficiently.

This position is ideal for someone who is career-driven, process-oriented, and thrives in a fast-paced environment where confidentiality and professionalism are paramount.

Key Responsibilities :-

Executive Support & Coordination

  • Act as the primary point of contact between the MD and stakeholders (internal teams, clients, vendors, and partners).
  • Manage and maintain the MD's calendar, appointments, meetings, and travel itineraries (domestic & international).
  • Draft, review, and manage emails, presentations, reports, client proposals, and official correspondence on behalf of the MD.
  • Assist in preparing project reports, MIS, and meeting documents.

Interdepartmental Liaison

  • Coordinate with Design, Projects, Procurement, HR, and Finance teams to provide timely updates and reports to the MD.
  • Follow up with teams on deadlines, deliverables, and pending tasks to ensure smooth execution.
  • Facilitate communication between the MD and cross-functional departments for strategic alignment.

Project & Business Support

  • Support the MD in strategic initiatives, client interactions, and business development activities.
  • Assist in project documentation, approvals, and vendor coordination related to interior design projects.
  • Track project progress and highlight critical issues or delays for quick resolution.

Meetings & Events Management

  • Organize and coordinate board meetings, client meetings, project reviews, and business events.
  • Prepare agenda notes, minutes of meetings (MoM), and ensure timely circulation and follow-ups.
  • Manage logistics and ensure smooth execution of meetings.

Confidentiality & Documentation

  • Handle confidential information with discretion and integrity.
  • Maintain an efficient filing system (digital & physical) for easy retrieval of records, contracts, and important documents.
  • Ensure compliance with company policies in documentation and approvals.

  • Excellent verbal and written communication skills (English & Hindi).
  • High level of professionalism, integrity, and discretion in handling sensitive matters.
  • Ability to work independently and proactively with minimal supervision.
  • Strong follow-up and execution capabilities to drive results on behalf of the MD.

Qualifications :-

  • Graduate in any discipline (Master's degree preferred).
  • 2–6 years of relevant experience as Executive Assistant, Personal Assistant, or in a similar role.
  • Proficiency in MS Office (Word, Excel, PowerPoint), Google Suite, and email drafting.
  • Experience in project coordination, vendor management, or MIS reporting will be an added advantage.
