Job Description:
We are a growing glass manufacturing company catering to B2B clients across India. The business is managed by four promoters/directors, each handling different functional areas. To streamline coordination, communication, and follow-ups, the company is hiring a professional Executive Assistant cum Personal Assistant who will serve as a central point of support and coordination.
This role requires an organised, mature, and proactive individual who can manage communications, track commitments, coordinate between departments, and assist the Directors in day-to-day business and administrative work. The position demands strong multitasking ability, confidentiality, and follow-through.
Key Responsibilities- Coordination & Communication
- Serve as the communication bridge between Directors and various departments.
- Ensure timely circulation of decisions, instructions, and reports.
- Draft and manage official correspondence, emails, and follow-ups on behalf of Directors.
- Meeting & Schedule Management
- Maintain and update calendars for all four Directors.
- Schedule internal and external meetings, plant visits, and client interactions.
- Prepare meeting agendas, take minutes, and ensure follow-up on action points.
- MIS & Reporting Support
- Track and compile key business and departmental reports for review meetings.
- Follow up with department heads for data, deadlines, and updates.
- Summarize reports or highlight important points for Directors' attention.
- Travel & Logistics
- Plan and coordinate travel, hotel, and local arrangements for Directors.
- Manage logistics for client or vendor visits when required.
- Administrative & Personal Assistance
- Handle documentation, filing, and record maintenance (digital and physical).
- Manage small personal or office tasks assigned by Directors from time to time.
- Ensure confidentiality and discretion in handling sensitive business information.
- Multi-Director Support & Prioritisation
- Understand the priorities and schedules of each Director.
- Manage parallel instructions from different Directors calmly and efficiently.
- Maintain clear task lists and update each Director on status and pending work.
- Graduate / Postgraduate with strong administrative or executive assistance background.
- 5–10 years of experience supporting senior management / promoters / directors.
- Excellent communication and coordination skills (written & verbal).
- Proficiency in MS Office (Excel, Word, PowerPoint) and email drafting.
- Strong sense of confidentiality, discipline, and ownership.
- Fluent in English, Hindi, and Gujarati.
