Executive Assistant/ Personal secretary 3-7 Years of experience
Key Responsibilities
A. Administrative Support
- Managing the employers schedule and calendar, including meetings, appointments, and events.
- Organizing travel arrangements (flights, hotels, itineraries, visas, etc.).
- Preparing documents, reports, and presentations as required.
- Filing and maintaining both digital and physical records.
B. Communication Management
- Screening and answering phone calls, emails, and messages.
- Drafting, proofreading, and sending correspondence on behalf of the employer.
- Liaising with internal staff, clients, and external partners professionally.
C. Meeting Coordination
- Scheduling and confirming meetings.
- Preparing agendas and ensuring required documents are ready.
- Taking minutes during meetings and following up on action points.
D. Confidential & Personal Assistance
- Handling confidential documents and sensitive information discreetly.
- Managing some personal errands, reservations, or special arrangements when required.
E. Office & Task Management
- Coordinating with vendors, suppliers, and service providers.
- Monitoring deadlines and ensuring tasks are completed on time.
- Managing petty cash and expense records (if required).
3. Skills & Competencies
- Organizational skills ability to priorities and multitask.
- Excellent communication skills verbal and written.
- Time management keeping the employer on schedule.
- Confidentiality handling sensitive information with discretion.
- Technical proficiency MS Office, email tools, scheduling software.
- Attention to detail ensuring accuracy in documents and arrangements.
4. Reporting Structure
- Reports directly to the employer (Managing Director, CEO, or senior leader).
- May supervise a junior assistant or coordinate with administrative staff.
Required Qualifications
- Bachelors degree in business administration, commerce, or any relevant field (optional but preferred).
- Professional experience in administration, executive assistance, or secretarial work.
- Short-hand or speed-typing skills can be an added advantage.
