About the Role

We are looking for a highly organised and motivated Shipping Operations Executive to oversee day-to-day bunkering and logistics activities. This role ensures that fuel delivery, cargo loading, and port operations run smoothly, safely, and in full compliance with regulatory standards. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced maritime environment, with a solid understanding of port operations, vessel coordination, and bunker documentation.

Key Responsibilities:

  1. Daily Coordination

Communicate regularly with shipping agents, port authorities, and vessel masters for operational updates.

Coordinate with oil companies, terminal operators, and fuel suppliers to ensure smooth loading and bunkering.

Monitor bunker delivery schedules and vessel movements to prevent operational delays.

  1. Documentation Management

Prepare and verify shipping documents including delivery notes, bunker delivery receipts (BDRs), cargo manifests, and customs/shipping declarations.

Ensure all documentation complies with port, customs, and maritime regulations.

Maintain accurate digital and physical records of all bunker transactions.

  1. Communication Management

Provide timely updates to customers and internal teams regarding bunker operations.

Liaise with surveyors, suppliers, and logistics partners to ensure seamless execution.

Coordinate with finance or accounts for invoicing and documentation reconciliation.

4.Operations Monitoring & Reporting

Track bunker supplies across multiple Indian ports and monitor daily operational performance.

Submit daily operational and exception reports to the Shipping or Operations Manager.

Flag operational risks, delays, or non-compliance proactively.

  1. Issue Resolution

Troubleshoot issues during bunkering or loading operations and implement preventive measures.

Manage emergency or deviation situations in coordination with relevant authorities.

  1. Additional Duties

Assist in cost optimisation and operational efficiency initiatives.

Support audits and compliance inspections as needed.

Perform any other task assigned by management.

Essential Qualifications & Skills

  1. Education: Graduate in any discipline.

  2. Experience: 1–2 years in port operations, bunkering, or shipping logistics.

  3. Technical Skills:

Proficiency in MS Office (Excel, Word, PowerPoint).

Working knowledge of port clearance procedures, documentation, and customs systems.

Attention to Detail: Accuracy in documentation and operational follow-through.

Proactive Problem Solving: Ability to identify and resolve issues before escalation.

Multitasking: Capable of managing multiple port operations simultaneously.
