Key Responsibilities

1. Container Booking & Coordination

  • Liaise with UK-based shipping agents to book containers for upcoming shipments.
  • Compare freight quotations, rates, and transit times across multiple carriers.
  • Select the most efficient and cost-effective shipping options based on price, reliability, and route.
  • Prepare and confirm booking instructions, bill of lading details, and other shipping documents.

2. Shipment Tracking & Vessel Monitoring

  • Track all active shipments from port of loading (Vietnam) to UK ports using carrier portals and vessel tracking tools.
  • Monitor vessel progress, estimated arrival times, and transshipment points.
  • Identify and act upon potential delays, port congestion, or schedule changes to minimise disruption.

3. Communication & Reporting

  • Provide regular updates to internal teams (sales, operations, and warehouse) on shipment status and expected delivery timelines.
  • Notify relevant departments immediately of any delays or changes in ETA.
  • Maintain a shared shipment tracker or dashboard showing live status for all containers.

4. Documentation & Compliance

  • Ensure all required shipping documents (Bill of Lading, Commercial Invoice, Packing List, Certificate of Origin, etc.) are accurate and complete.
  • Coordinate with shipping agents to ensure smooth customs clearance.
  • Maintain records of all bookings, rates, and delivery timelines for future reference and analysis.

5. Continuous Improvement

  • Review carrier and agent performance to identify delays or rate fluctuations.
  • Recommend improvements to routes, carriers, and overall shipping strategy.
  • Support management with cost analysis and logistics efficiency initiatives.

Skills & Experience Required

  • 25 years' experience in import/export logistics, freight forwarding, or supply chain coordination.
  • Strong knowledge of container shipping processes, Incoterms, and documentation.
  • Excellent coordination and communication skills.
  • Analytical mindset with ability to compare rates and transit options objectively.
  • Proficiency in Microsoft Excel / Google Sheets and online shipment tracking tools.
  • High attention to detail and ability to manage multiple shipments simultaneously.

Performance Indicators

  • On-time container delivery rates.
  • Reduction in demurrage or detention costs.
  • Accuracy and timeliness of shipment tracking updates.
  • Cost savings achieved through effective rate comparison.
  • Proactive communication and resolution of shipping issues.
