Role & responsibilities

  1. Procurement Strategy Development:

  2. Lead the development and implementation of procurement strategies tailored to meet the hospital's strategic objectives.

  3. Conduct thorough market research and analysis. and
  4. Collaborate closely with various hospital departments to forecast demand accurately
  5. Identify potential suppliers and negotiate contracts to secure favorable terms and pricing that support the hospital's financial sustainability and operational efficiency.

  6. Vendor and Contract Management:

  7. Building and maintaining strong relationships with suppliers is essential.

  8. Oversee supplier selection processes, negotiate contracts, and evaluate supplier performance regularly to ensure adherence to quality standards and delivery schedules.
  9. Manage an approved supplier list and implementing robust supplier management practices that align with hospital policies and regulatory requirements.

  10. Inventory Management:

  11. Effective management of medical supplies, equipment, pharmaceuticals, stationery items, general use items and other essential inventory

  12. Develop and implement inventory control measures to maintain optimal stock levels, prevent stockouts, and minimize excess inventory.
  13. Utilize advanced inventory management software, you will monitor usage patterns, track inventory levels in real-time, and generate detailed reports to support informed decision-making.

  14. Compliance and Risk Management:

  15. Ensure compliance with healthcare regulations, industry standards, and hospital policies

  16. Implement rigorous compliance protocols and risk management strategies to mitigate potential disruptions in the supply chain.
  17. Develop contingency plans for emergencies or unforeseen events that could impact procurement operations.

  18. Budget Management:

  19. Oversee the procurement budget, ensuring expenditures align with approved financial plans.

  20. Proactively identify cost saving opportunities and implement cost-effective initiatives.

  21. Team Leadership and Development:

  22. Leading a dedicated procurement team

  23. Provide mentorship, guidance and professional development opportunities to foster a high-performance culture.
  24. Conduct performance evaluations and promote collaborative efforts across departments to streamline procurement processes and enhance overall operational efficiency.

  25. Market Analysis and Process Improvement:

  26. Conduct ongoing market analysis to stay informed about industry trends, innovative products, and emerging suppliers.

  27. Identify opportunities for process improvements and implement best practices in procurement operations to enhance efficiency, reduce costs, and optimize resource allocation.

  28. Reporting and Stakeholder Communication:

  29. Prepare comprehensive reports on procurement activities, savings achieved, and performance metrics, and present findings to senior management and stakeholders.

Qualifications & Experience:

  • Education: Bachelors degree in Supply Chain Management, Business Administration, or a related field.
  • A Masters degree or professional certification (e.g., CPM, CPSM) is preferred.
  • Familiarity with hospital management systems (HMS) and ERP tools (e.g., SAP, Oracle) is preferred.
  • Minimum 10 years of experience in procurement, purchasing, or materials management with at least 3 years in a managerial role within a healthcare setting (preferably 200+ bedded hospital)
  • Hands-on experience in sourcing medical consumables, equipment, surgical items, and general hospital supplies.
  • Experience in vendor coordination, quotation analysis, and purchase order processing.
  • Exposure to inventory control, stock audits, and supply chain documentation.
