We are seeking a highly organized and proactive
Executive Assistant cum Office Coordinator
to support senior management and ensure smooth day-to-day operations of the office. This dual-role position involves providing high-level executive support as well as managing general office functions, including vendor management, facilities coordination, and administrative tasks.

Key Responsibilities:
Executive Assistant Duties:

  • Provide administrative support to senior executives (calendar management, travel arrangements, expense reporting).
  • Draft and proofread emails, reports, presentations, and other documents.
  • Organize and coordinate internal and external meetings, including taking minutes and following up on action items.
  • Handle confidential information with a high level of discretion and professionalism.
  • Liaise with internal departments and external stakeholders on behalf of the executive.

Office Coordination Duties:

  • Oversee day-to-day office operations, ensuring a clean, safe, and efficient work environment.
  • Manage office supplies inventory and place orders when necessary.
  • Coordinate with vendors, service providers, and building management.
  • Organize office events, team activities, and internal communications.
  • Maintain records and files in a systematic and accessible format.
  • Onboard new hires by preparing workstations and necessary documentation.

Qualifications:

  • Bachelor's degree in Business Administration or related field (preferred).
  • 3+ years of experience in a similar administrative or office coordination role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Ability to work independently and prioritize tasks effectively.
  • Professional demeanor and ability to handle sensitive information discreetly.

Preferred Skills:

  • Experience supporting C-level executives.
  • Familiarity with tools like Zoom, Slack, Asana, or similar platforms.
  • Basic knowledge of HR or facilities management is a plus.
  • Fast-paced, collaborative office environment.
