Position Overview

We are seeking a proactive, organized, and tech-savvy
Administrative Assistant to Director/Executive Assistant

to support our senior leadership with day-to-day operations, administrative duties, recruitment coordination, and internal team communication. This role involves both administrative and strategic support across departments, ensuring seamless workflow in a dynamic cybersecurity environment.

Key Responsibilities
Administrative & Executive Support

  • Manage the Director's calendar, schedule meetings, and coordinate appointments.
  • Organize travel, accommodation, and event logistics (virtual or in-person).
  • Take meeting minutes, track follow-ups, and ensure task completion.
  • Handle email and phone communication, prioritizing urgent messages and responses.

Project & Office Coordination

  • Support ongoing internal projects by coordinating timelines, documentation, and stakeholder communication.
  • Maintain organized records and filing systems for the Director's office.
  • Prepare reports, PowerPoint presentations, and spreadsheets as required.

Recruitment & Talent Search Support

Search and source suitable candidates via job portals, LinkedIn, and databases.

Screen resumes and shortlist applicants based on job requirements.

Schedule and coordinate interviews between candidates and hiring managers.

Follow up with applicants throughout the recruitment process and maintain records.

Assist in preparing job descriptions, posting jobs online, and managing recruitment dashboards.

Support HR with onboarding documentation and new hire orientation.
Communication & Correspondence

  • Draft and edit professional emails, internal memos, and reports.
  • Serve as a liaison between the Director and internal teams.
  • Support with preparing content for cybersecurity events, meetings, and stakeholder reports.

Event & Conference Planning

  • Research and register for relevant cybersecurity events and webinars.
  • Coordinate logistics for team participation in industry conferences and sessions.
  • Handle planning of company webinars, offsites, or speaking engagements.

Team & Culture Support

  • Assist in organizing team-building activities, virtual events, and leadership off-sites.
  • Provide administrative support to other departments when needed.
  • Assist with vendor coordination, meeting bookings, and general office support (if onsite).

Requirements

  • Proven experience as an Administrative Assistant, Executive Assistant, or HR Coordinator, preferably in IT, cybersecurity, or tech sectors.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office Suite and virtual collaboration tools (Zoom, Google Meet, Slack).
  • Ability to manage sensitive information with confidentiality.
  • Strong multitasking, time management, and attention to detail.
  • Familiarity with basic recruitment processes is preferred.
  • Willingness to work independently and across time zones if needed.

Preferred Qualifications

  • Bachelor's or Master's degree in Business Administration, HR, or related field.
  • 3–6 years of experience supporting leadership in fast-paced environments.
  • Understanding of cybersecurity or IT operations (a plus).
  • Local Candidate more prefarebal.
