**Office Administrator**

**Key Roles and Responsibilities of Office Administrator.**

**Primary Responsibility**:
1. **Manpower Management**: plays a crucial role in managing House Keeping & Security Guards efficiently. Here are some key responsibilities of office administration in this regard. Selection and Training, Supervision and Performance Management, Scheduling and Deployment, Equipment and Supplies Management, Compliance and Protocol Enforcement, Conflict Resolution and Crisis Management.

2. **Project Manpower Coordination**:Involve in timely coordination of all the field and in-house resources and maintaining records of the same.

3. **Project Logistic Coordination**: Involve in Coordination of Managing Postage and Courier Services Coordination of Outgoing and incoming mails or parcel, address and cost management, Compliance and Security.

4. **Maintaining Attendance Records**: Managing employee attendance is a critical aspect of office administration. Here are some responsibilities involved in this task: Managing Attendance Systems, Monitoring Attendance, and Providing Attendance Reports.

5. **Travel Arrangement**: plays a crucial role in managing business travels efficiently. Here are some key responsibilities of office administration in this regard Travel Coordination, Itinerary Planning, Travel Documentation, Expense Management, Travel Policy Compliance, Emergency Support.

6. **Vendor Management**: Selecting and supervising vendors and contractors for services such as maintenance, repairs, cleaning, gardening and landscaping. Ensuring that vendors deliver high-quality work and meet contractual obligations. Also, documentation and records management.

7. **Property & Equipment Maintenance**: Ensuring that the building is properly maintained both internally and externally. This includes regular inspections, repairs, and upkeep of facilities, equipment, and infrastructure.

**Secondary Responsibilities**:
**1. Financial Management**: Timely budgeting and financial planning for building operations, including expenses such as maintenance, utilities, insurance, and property taxes, handling accounts related to building and reporting to finance department for smooth operation.

**2. Safety and Security**: Implementing and enforcing safety protocols to protect occupants and assets within the building. This may involve installing security systems, conducting safety drills, and ensuring compliance with building codes and regulations.

**3. Licence & Records Management**: Overseeing licence agreements, including negotiations, renewals, and applicability. Keeping accurate records of licence & agreements and ensuring compliance with Licence terms. Maintaining proper records of applicable documents, including appointment schedules, and any relevant documentation related to visitor interactions. Ensuring compliance with local authorities and company policies.

**4. Regulatory Compliance**: Staying up-to-date with relevant laws, regulations, and building codes. Ensuring that the building complies with zoning requirements, environmental regulations, accessibility standards, and other legal obligations.

**5. Emergency Readiness**: Developing and implementing emergency response plans to address situations such as fires, natural disasters, or security breaches. Training staff and tenants on emergency procedures and coordinating with emergency services when necessary.

**6. Energy Efficiency and Sustainability**: Implementing measures to improve energy efficiency, such as installing energy-efficient Lighting, Air conditioning, CCTV, Fridge, Microwave, EPABX and water-saving fixtures.

**7. Guests and Visitors Management**: Coordinating appointments and meetings with visitors, Greeting and Reception, Communication Liaison, Hospitality Services.

**8. Occasion & Festivals Management**:Event Planning and Coordination, Budget and Vendor Management, Health and Safety Compliance, Post-Event Evaluation

**9. Tenant Relations**: Managing relationships with tenants, addressing their concerns, and ensuring their needs are met. This involves effective communication, handling tenant requests and complaints, and maintaining tenant satisfaction.

**10. Continuous Improvement**: Office administrator regularly evaluate and update processes and procedures to streamline operations, improve efficiency, and enhance the overall experience.
