**Position Overview**:
The Patient Coordinator plays a vital role in ensuring the smooth and efficient operation of a pet hospital. This position is responsible for managing the front desk, providing exceptional customer service, and assisting with various administrative tasks to support the hospital's daily operations.
Key Responsibilities:
**Front Desk Management**:
Greet clients and their pets with a friendly and welcoming them.
Answer phone calls, schedule appointments, and provide information about hospital services.
Maintain a clean and organized front desk area.
**Appointment Scheduling**:
Coordinate appointments for veterinarians and other staff members.
Ensure appointment schedules are optimized for efficiency and customer convenience.
Reschedule appointments as needed and communicate any changes to clients.
**Client Interaction**:
Interact with clients in a compassionate and empathetic manner, addressing their concerns and questions.
Collect and update client information, including pet medical histories and contact details.
Provide basic information on pet care, vaccinations, and preventive measures.
**Administrative Support**:
Assist in maintaining electronic and paper patient records, ensuring accuracy and confidentiality.
Coordinate the transfer of medical records when necessary.
Manage inventory of office supplies and order as needed.
**Pet Check-In and Check-Out**
Ensure a smooth check-in and check-out process for pets, including verifying identity and ensuring proper documentation.
Provide clear instructions to clients regarding post-appointment care and medication administration.
**Emergency Response**:
Remain calm and efficient in handling emergency situations and directing clients to appropriate personnel.
**Team Collaboration**:
Collaborate with veterinarians, veterinary technicians, and other staff members to ensure seamless patient care.
Communicate effectively with colleagues regarding appointments and patient needs.
**Qualifications**:
High school diploma or equivalent; some college coursework preferred.
Previous experience in a customer service or administrative role is advantageous.
Strong communication and interpersonal skills.
Compassion for animals and an understanding of pet care basics.
Ability to multitask, stay organized, and work efficiently in a fast-paced environment.
Attention to detail and a commitment to maintaining confidentiality.
**Working Conditions**:
Work in a pet hospital or veterinary clinic setting.
May involve exposure to animals, including those that are sick or injured.
Varied shifts, including evenings, weekends, and holidays, may be required.
