**Receptionist/Admin Assistant**
Hatch’s India office is looking for an Administrative Assistant / Receptionist to perform secretarial, receptionist and general administrative duties for the smooth running of the office and serve as support for our Project Services and Document Control groups, in case required.
**Responsibilities include but are not limited to**:
- Main contact for the front door:
- Answering the phones professionally
- Welcoming visitor / clients to Hatch and ensuring that they sign in as per office Policies
- Prioritizing - ensuring that the reception desk and phone are covered
- Managing Pantry Boys and Housekeeping staff
- Receiving deliveries to the office and shipping of Packages / letters
- Managing invoices for office related expenses
- General office duties such as:
- Ordering of office supplies including kitchen supplies
- Ordering lunches for meetings
- Ordering safety supplies,
- Assisting with onboarding of new hires,
- Managing parking passes,
- Communicating with the landlord / building owner,
- Organizing staff functions / social events, etc.
- Booking of boardrooms
- Travel arrangements for the employees / visitors
- Booking meetings for office leaders
- Taking notes / minutes in meetings
- Check and distribute mail
- Booking Car Rentals
- Booking Apartment / Hotels for visitors
- Supporting project administrative functions such as Document control and Project Services
- Issuing documents
- Formatting general, proposals and project related documents / reports including letters, memos, minutes of meeting etc
- Assisting with CVs and other documentation for proposals, when required
**Skills required**:
- 2 -5 years of prior experience as an Administrative Assistant in a professional services firm or similar office environment.
- Excellent verbal and written communication skills;
- Excellent coordination and planning skills;
- Strong competency in Microsoft Office tools such as PowerPoint, Word, Excel and Outlook.
- Self-motivation, initiative and the ability to work effectively with all organizational levels;
- Quick learner, well organized with good interpersonal skills;
- Detail oriented individual who takes pride in the work and ensures work is always completed to the highest degree of accuracy;
- Can easily prioritize tasks, adapt to change, and work very well under pressure.
