Job Description: Receptionist/Administrative Assistant

We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our team. As the first point of contact for our company, you will play a crucial role in creating a positive and welcoming atmosphere for our clients, visitors, and employees. In addition to managing the front office and providing exceptional customer service, you will also assist with various administrative tasks and maintain a 5S environment throughout the office.

**Responsibilities**:
Front Office Management:

- Greet and welcome visitors, clients, and employees with a friendly and professional demeanor.
- Answer phone calls, transfer calls, and take accurate messages as required.
- Handle incoming and outgoing mail, packages, and deliveries.
- Manage the appointment calendar and schedule meetings when necessary.
- Maintain cleanliness and tidiness of the front office area.

Customer Service:

- Provide excellent customer service by addressing inquiries and directing individuals to the appropriate departments.
- Handle customer complaints or issues in a courteous and efficient manner.
- Assist clients with general information and provide guidance as needed.

Administrative Support:

- Assist with various administrative tasks such as data entry, filing, photocopying, and scanning documents.
- Prepare and distribute memos, letters, and other correspondence.
- Maintain inventory of office supplies and place orders when necessary.
- Assist in organizing company events, meetings, and conferences.

5S Implementation:

- Promote and maintain a 5S workplace environment throughout the office.
- Ensure workspaces are clean, organized, and free from clutter.
- Regularly inspect and report any maintenance or cleanliness issues to the appropriate department.
- Implement and reinforce 5S principles among employees.

**Requirements**:

- High school diploma or equivalent. Additional certification in office administration is a plus.
- Proven experience as a receptionist, administrative assistant, or similar role.
- Excellent interpersonal and communication skills.
- Professional appearance and friendly demeanor.
- Strong organizational and multitasking abilities.
- Proficient in MS Office (Word, Excel, Outlook).
- Knowledge of office equipment such as printers, copiers, and fax machines.
- Familiarity with 5S principles and experience in maintaining a clean and organized workspace is desirable.
- Ability to handle confidential information with discretion.
