This role requires an experienced professional to effectively manage the schedule of the CEO and ensure that the lines of communication are kept flowing between direct reports, staff, and clients.
The post holder will work closely with:
- The Chief of Staff & Management Team at MetaStudios on the day-to-day running of the business.
- The Business & Operations Manager to the Co-Founders of the parent company MetaEngine, to help keep the two businesses aligned.
**Objectives of the role**
- Ensure the smooth running of the CEO's Office
- Provide high-quality and customer-focused service to employees and clients alike
- Supporting the Management Team as necessary to enable alignment of priorities and objectives
- Be the key point of contact for the CEO's Office
- Identify opportunities for efficiencies and improvements for the business
**Responsibilities**:
- Attend key meetings with and on behalf of the CEO to understand and aid business priorities
- Arrange complex multi-destination business travel for the CEO & Chief of Staff
- Familiarisation with all internal policies and procedures
- Follow up on any key themes, priorities, or actions by allocating tasks or providing verbal updates/reminders in regular catch-up meetings
- Ensure the CEO is aware of any critical information in a timely manner
- Help the CEO manage his task list by understanding his priorities and deadlines
- Take care of any tasks on behalf of the CEO to free up his time wherever possible
- Act as a point of contact for the CEO, screening incoming correspondence
- Build a rapport with the Management Team and keep them up to date on any relevant matters (comfortable relaying messages directly from the CEO)
- Manage the collation of slides for the internal Company Update meeting
- Preparation/proofreading of presentation slides or reports as necessary for the CEO
- Be able to hit the ground running to enable impact from day one with excellent communication skills and a sharp eye for detail
- Compile expense reports for the CEO and handle the reimbursements report to the company
- Phenomenal prioritisation skills
- Experience managing complex diaries and inboxes across time zones and with senior external stakeholders
- Champion new systems to be implemented within the company to help with adaption
- Plan and manage the CEO’s schedule, ensuring all appointments and meetings are properly scheduled and communicated with adequate travel and downtime in between/around meetings
- Be naturally proactive when it comes to looking ahead, spotting, and resolving issues before they occur
- Ability to support the broader strategic thinking of the CEO and Management Team
- Handle confidential and highly sensitive information with discretion and professionalism
- Liaise with internal and external stakeholders on behalf of the CEO, managing the flow of communication both internally and externally.
- Prepare and edit correspondence, reports, presentations, and other documents as needed
- Provide relevant briefing information for meetings as appropriate
**Requirements**:
- 3-4+ years’ experience as an Executive Assistant or similar role supporting C-level / Senior Level Executives or above essential
- Positive demeanour with a solution-focused / can-do attitude
- Proven experience and ability to handle multiple tasks simultaneously in a fast-paced environment
- Experience arranging complex multi-destination business travel for C-Suite level executives
- Experience liaising with external clients and ability to build a rapport with them
- Excellent knowledge of Google Suite
- Demonstrated ability to work independently and proactively, taking ownership of tasks and driving projects forward.
- Outstanding interpersonal and communication skills, with the ability to interact confidently and professionally with stakeholders at all levels.
- Excellent organizational and time-management skills, with the ability to handle multiple tasks and competing priorities effectively.
