Executive Assistant to The Vice Chairman

Key Responsibilities: 1. Administrative Support: Manage the Vice Chairman’s calendar, including scheduling meetings, appointments, and travel arrangements. Prepare and organize meeting agendas, presentations, and documentation. 2. Communication Management: Serve as the first point of contact for internal and external stakeholders. Maintain confidentiality and manage sensitive information with discretion. 3. Travel Coordination: Arrange domestic and international travel, including flights, accommodation, visas, and itineraries. Ensure seamless travel experiences by anticipating and resolving any issues. 4. Event and Meeting Coordination: Organize and coordinate high-profile meetings, conferences, and events. Record and distribute meeting minutes and follow up on action items. 5. Task Management: Assist with personal and professional tasks, ensuring timely completion. Monitor deadlines, prioritize tasks, and ensure the Vice Chairman is well-prepared for daily activities. 6. Office Management: Maintain an organized filing system for important documents and records. Manage special projects and assignments as delegated. Oversee office supplies and handle expense reports. Qualifications and Skills: **Education**: Bachelor’s degree in Business Administration, Communications, or a related field. **Experience**: 5+ years of experience as a personal assistant or executive assistant to senior management. Experience in managing high-pressure schedules and tasks. **Skills**:Strong organizational and multitasking abilities. Excellent verbal and written communication skills. Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook). Ability to handle confidential matters with discretion and professionalism. Exceptional time management and problem-solving skills. Key Competencies: High attention to detail and accuracy. Proactive and resourceful with a solution-oriented mindset. Strong interpersonal skills and the ability to interact with individuals at all levels. Adaptability and flexibility to manage changing priorities. Work Environment: Primarily office-based with occasional travel as required.
