**Job Title: Project Coordination Associate**
Key Responsibilities:
Stakeholder Management:
- Internal Stakeholders: Collaborate with product, sales, and finance teams to align project requirements, client expectations, and budget tracking.
- External Stakeholders: Act as the primary liaison for clients, addressing their concerns and ensuring vendor and service provider relationships are effectively maintained.
Communication:
- Facilitate effective communication across all project stakeholders.
- Prepare and share project updates, meeting minutes, and key documentation.
Tracking and Reporting:
- Monitor project timelines and ensure deadlines are met.
- Generate progress reports for management and stakeholders.
- Maintain and update project trackers regularly.
Vendor Management:
- Coordinate with vendors to guarantee timely delivery of materials and services.
- Assess vendor performance and document ongoing relationships.
Financial Tracking:
- Support financial tracking by monitoring project budgets and expenditures.
- Report any budget discrepancies or concerns to management.
Multi-Project Coordination:
- Manage multiple projects simultaneously, ensuring timely and efficient execution.
- Prioritize tasks to align with project deadlines.
Execution Documentation:
- Create and maintain essential project documentation, such as drawings, wiring diagrams, and execution plans.
- Ensure all documents are accurate, up-to-date, and accessible.
Process Ownership:
- Oversee project processes and ensure team adherence.
- Serve as a knowledge resource for project-related queries, offering support to clients and team members.
