Reports to: Managing Director

Job Location: Santacruz (E), Mumbai

Qualification: Any Graduate Degree

Experience: Minimum 5 years.

**Job responsibilities & Deliverable**:
**As a EA**
- Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
- Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
- Maintains customer confidence and protects operations by keeping information confidential.
- Making CC payment for MD’s Personal Accounts.
- Prepares reports by collecting and analysing information.
- Filing, Record keeping.
- Contributes to team effort by accomplishing related results as needed.
- Calendar Management.
- Acting as a first point of contact: dealing with correspondence and phone calls

Managing diaries and organising meetings and appointments, often controlling access to the manager/executive
- Coordinating with the manager/executive of important tasks and deadlines
- Liaising with staff, suppliers and clients
- Collating and filing expenses
- Miscellaneous tasks to support MD, which will vary according to the sector and to the MD’s remit, e.g. completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research
- Any other work provided by MD on day to day basis.

**Admin**
- Office maintenance & Housekeeping Coordination
- Ensures operation of equipment by completing preventive maintenance requirements; following instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
- Ticket booking
- B ’day, Farewell celebration
- IT & Vending Machine, AC, Office Electrical Fittings - Laptop/PC/Mac/IMac/Microsoft office renewal (Coordination)
- AMC-Follow ups
- Rental Agreement (preparing and maintaining)
- Couriers (Coordination)
- Vendor Development, Negotiation, quality checks and pricing
- Renewal of Shops and estb (BMC Licence)
- Fire Safety Compliance
- Admin Budgets

**Key Skills**:
Eye for detailing, Familiarity with business software such as Microsoft Office with an ability to become familiar with firm-specific programs and software, A high level of confidentiality, Excellent interpersonal and customer-facing skills, Strong communication skills, both written and verbal, flexibility and willingness to learn.

Pay: ₹500,000.00 - ₹600,000.00 per year
