The EA will act as a trusted partner to the CEO, ensuring seamless coordination of activities, managing day-to-day operations, and handling confidential information with the utmost discretion. The EA plays a crucial role in enhancing the CEO's productivity and efficiency, enabling them to focus on strategic decision-making and business growth. 3. KEY RESULT AREAS/ KEY DELIVERABLES 1. Calendar Management 2. Secretarial Assistance 3. Travel Arrangements 4. Expense Management 5. Administration Support to Company 4. KEY INTERACTIONS Internal Purpose HR For coordination related to completion of HR formalities for centre formalities Finance For coordination related to completion of Finance formalities HODs For coordination related to Facilitate communication and maintain relationships with internal and external stakeholders External Purpose Vendors ( travel, stationery) For bookings and procurement of stationery Training vendors For training programs Hr team of developers For approval of attendance 2 5. KEY ACCOUNTABILITIES/ KEY RESPONSIBILITIES 6.POSITION REQUIREMENTS Level of Education Bachelor's degree in Business Administration, Management, or a related field is preferred. Experience Proven experience as an Executive Assistant, CEO Assistant, or in a similar high-level administrative role 7.COMPETENCIES • Calendar Management: Efficiently manage the CEO's schedule, coordinating and prioritizing appointments, meetings, and events to optimize their time and productivity. • Communication: effective communication with internal and external stakeholders. • Travel Arrangements: Organize and coordinate travel logistics, including flights, accommodations, ground transportation, and itineraries for business trips and conferences. • Data Analysis ,Research & Documentation: Assist in collecting and analyzing relevant data, generating reports, and presenting insights to support the CEO's decision-making process. Conduct research on industry trends, competitors, potential partnerships, and other topics as required to keep the CEO informed.Draft, review, and edit documents, presentations, and reports for internal and external distribution. • Confidentiality & Support: Maintain strict confidentiality of sensitive information and exercise discretion in handling all matters. Provide assistance during meetings, including note-taking, preparing meeting materials, and following up on action items. • Expense Management: Track and manage the CEO's expenses, ensuring accuracy and compliance with company policies. • Team Coordination: Facilitate communication and coordination between different departments, ensuring smooth cross-functional collaboration. 3 Functional Excellent organizational and time management skills, with the ability to multitask and meet tight deadlines. Strong communication skills, both written and verbal, to interact effectively with stakeholders at all levels. Proficient in using productivity tools and software, such as Microsoft Analytical mindset with the ability to gather and interpret data to support decision-making. High level of professionalism, integrity, and discretion, especially when handling confidential information. Strong attention to detail and accuracy in all aspects of work. Flexibility to adapt to changing priorities and the capacity to work well under pressure.
