**Position Title**: Purchase Coordinator/Clerk
**Location**: Nasik, Maharashtra
**Department**: Procurement
**Reports To**: Purchase Officer / Purchase Manager
**Job Summary**:
**Key Responsibilities**:
- **Order Processing**: Prepare and issue purchase orders (POs) for required materials and supplies, ensuring accurate quantities, specifications, and timelines.
- **Supplier Coordination**: Maintain clear communication with suppliers to confirm order details, delivery schedules, and follow up on delayed or pending orders.
- **Documentation & Record Keeping**: Maintain accurate records of purchase orders, supplier invoices, delivery notes, and other procurement documentation.
- **Inventory Tracking**: Monitor stock levels in collaboration with the inventory team and ensure timely reordering of materials to prevent project delays.
- **Vendor Management**: Help maintain a comprehensive vendor database, updating contact details, pricing, and performance reviews as necessary.
- **Communication & Liaison**: Act as a bridge between the procurement department, suppliers, site engineers, and the finance department, ensuring all stakeholders are updated on order statuses and any changes in the procurement process.
- **Cost Control**: Assist in comparing vendor prices and identifying opportunities for cost savings without compromising on quality.
- **Compliance & Quality**: Ensure all purchased materials meet the quality standards and specifications required by the engineering team. Coordinate quality checks on received goods.
- **Payment Processing**: Assist in verifying supplier invoices against purchase orders and deliveries to ensure timely payment processing by the finance department.
- **Reporting**: Assist in preparing procurement reports, order status updates, and cost summaries for management reviews.
**Required Skills & Qualifications**:
- **Educational Qualification**: Diploma or bachelor’s degree in supply chain management, business administration, or a related field.
- **Experience**: 1-2 years of experience in procurement or supply chain management, preferably in the real estate or construction industry.
- **Communication Skills**: Strong written and verbal communication skills to effectively liaise with vendors and internal teams.
- **Technical Skills**:
- Proficiency in Microsoft Office Suite (Excel, Word, etc.) and experience with procurement software.
- Ability to use ERP systems or procurement management tools will be an added advantage.
- **Attention to Detail**: Strong organizational skills with an ability to maintain accurate records and handle multiple tasks simultaneously.
- **Time Management**: Ability to prioritize tasks and ensure timely order processing and delivery tracking to meet project deadlines.
- **Problem Solving**: Capable of handling procurement issues such as delays, discrepancies, and supplier coordination with mínimal supervision.
**Preferred Attributes**:
- Knowledge of **real estate** or **construction materials**.
- Strong negotiation skills to handle vendor relationships.
- Ability to thrive in a fast-paced work environment with changing priorities.
