
Executive Assistant to CEO

**Job Summary**:
The Executive Assistant (EA) will provide high-level administrative and strategic support to the Managing Director (MD). This role requires a highly organized, proactive, and resourceful professional who can manage multiple priorities, streamline operations, and ensure smooth communication within and outside the organization.
**Roles and Responsibilities**:
**1. Strategic & Business Support**:
- Assist the MD in managing key business priorities, ensuring timely execution and follow-ups.
- Conduct market research, prepare business reports, and analyze financial data for strategic decision-making.
- Support in monitoring key performance indicators (KPIs) across departments.
- Coordinate with department heads to track the progress of ongoing projects and initiatives.
**2. Calendar & Meeting Management**:
- Manage the MD’s calendar, schedule meetings, and prioritize appointments.
- Prepare agendas, minutes, and follow-up action plans for meetings.
- Coordinate with internal teams and external stakeholders for business meetings, vendor discussions, and industry events.
**3. Communication & Liaison**:
- Act as a bridge between the MD and various stakeholders, ensuring clear and effective communication.
- Maintain confidentiality and handle sensitive information with discretion.
**4. Operational & Administrative Support**:
- Oversee travel arrangements, expense management, and logistics for the MD.
- Manage confidential files, legal documents, and business contracts.
- Handle personal and professional tasks as assigned by the MD.
**5. Process Improvement & Efficiency**:
- Identify and implement process improvements to enhance efficiency in the MD’s workflow.
- Develop and maintain systems for task tracking and follow-ups.
- Support in digitization, automation, and streamlining of office operations.
**Key Requirements**:
**Education & Experience**:
- Bachelor’s/Master’s degree in Business Administration, Commerce, or a related field.
- 7+ years of experience as an EA, preferably in a manufacturing or family-owned business.
**Skills & Competencies**:
- Excellent organizational and time-management skills.
- Strong business acumen and problem-solving ability.
- Proficiency in MS Office (Excel, Word, PowerPoint) and business reporting.
- Outstanding verbal and written communication skills.
- Ability to multitask, prioritize, and handle pressure efficiently.
- High level of integrity, discretion, and professionalism.
