**Position: Executive Assistant**

**Reporting To: Executive Director**

**Role Purpose**:
To ensure smooth and efficient functioning of the Executive Director’s office, through excellence displayed in providing planning & administrative support, liaising & coordinating with internal and external stakeholders, information management, project management & execution etc.

**Key Responsibilities**:

- **Administrative Support**:

- Provide comprehensive administrative support to the executive team, including calendar management, meeting coordination, and assisting in setting the agenda for senior management team meetings.
- Prepare minutes of meetings and follow up on assigned action items.
- Follow up on upcoming commitments and travel arrangements.
- **Communication**:

- Serve as the primary point of contact for internal and external communications, ensuring that inquiries and requests are addressed promptly and professionally.
- Manage information flow in a timely and accurate manner to aid in effective decision-making and ensure confidential and sensitive information is always safeguarded.
- Prioritize and follow up on incoming issues and concerns addressed to the ED and help determine the appropriate course of action.
- **Documentation**:

- Prepare and edit correspondence, reports, and presentations.
- Maintain and organize files and records.
- **Meeting Coordination**:

- Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
- **Project Management**:

- Assist in project management tasks, ensuring deadlines are met and projects are executed efficiently.
- Plan, organize, and carry out special projects and assignments to help achieve strategic goals and objectives, including executing and implementing strategies and plans of the Executive Director.
- Prepare reports and presentations for the ED by analyzing information and conducting research.
- Assist in developing departmental objectives and reviewing departmental performances, financial spreadsheets, special reports, and agenda material.

**- Data Analysis**:

- Analyze data and reports to provide insights and support strategic decision-making processes.
- **Office Management**:

- Oversee office supplies and equipment, ensuring the smooth operation of office functions.
- **Additional Duties**:

- Perform other additional and/or alternative duties as assigned by the Executive Director.
- Supporting other departments or executives need based.

**Qualifications and Experience**
- Post-graduation in Management
- At least 8 to 10 years of experience as an Executive Assistant.

**Competencies required: Knowledge, skills, attitude**:

- **Knowledge**_

Essential
- Proficiency with office productivity tools, essentially Windows - including Outlook, MS Word, EXCEL and PowerPoint and an aptitude for learning new software and systems.
- Understanding of PR and other media vehicles for achieving Communication objectives.
- Proficiency in working with financial spreadsheets.
- **Skills**_

Essential
- Exceptional communication skills, both written and spoken.
- Should possess strong influencing skills to positively impact outcomes and decisions.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Decision making skills.
- Ability to conduct secondary research.

- Excellent interpersonal abilities as evidenced by seamless collaboration with other functions/departments, external partners and key stakeholders.
