### **Job Summary**:
The Executive Assistant provides high-level administrative support to the executive team, ensuring smooth operations and facilitating effective communication within the organization. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion.

### **Key Responsibilities**:
1. **Administrative Support**:

- Manage and maintain executives' schedules, including coordinating meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Conduct research, compile data, and prepare reports for consideration and presentation by executives.

2. **Communication**:

- Act as the point of contact between executives and internal/external clients.
- Screen and direct phone calls and distribute correspondence.
- Handle requests and queries appropriately and in a timely manner.

3. **Meeting Coordination**:

- Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Arrange conference calls, board meetings, and off-site events as needed.

4. **Project Management**:

- Assist in the planning and execution of projects and events.
- Track project timelines and ensure deadlines are met.
- Support cross-functional initiatives and collaborate with various departments.

5. **Office Management**:

- Oversee office supply inventory and place orders as necessary.
- Manage expense reports and reconcile corporate credit card statements.
- Ensure the executive office area is well-maintained and presentable.

6. **Confidentiality**:

- Maintain the highest level of confidentiality regarding all business and personal matters.
- Handle sensitive information with discretion and integrity.

### **Qualifications**:

- **Education**:

- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- **Experience**:

- Minimum of 6 months of experience in an executive assistant or similar role.
- Proven experience in managing multiple priorities, administrative coordination, and logistics.
- **Skills**:

- Exceptional organizational and time-management skills.
- Strong verbal and written communication abilities.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to work independently and as part of a team.
- High level of professionalism and discretion.
- Excellent problem-solving skills and attention to detail.
