**Description**:
The Executive Assistant (EA) to the Director Development will provide high-level administrative and operational support to the Director Development as well as ensure the efficient functioning of the Development Office. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The EA will coordinate schedules, manage correspondence, support fundraising activities, and liaise with internal and external stakeholders.

**Responsibilities**:
Core Administrative Support
- Proactively manage the Director’s calendar, schedule meetings, appointments, and travel arrangements.
- Prepare meeting agendas, materials, and minutes, and arrange for meeting logistics, including venue, catering, and travel for the Director and the DO
- Coordinate travel arrangements, including flights, accommodations, and transportation, ensuring efficient and cost-effective travel for the Director and Development Office members where required.
- Maintain accurate records of contacts, projects, and other relevant information.
- Maintain and organize files, records, and documents related to development activities.
- Track deadlines and deliverables, ensuring smooth implementation of activities
- Conduct background research and prepare briefing materials for donor meetings.
- Serve as a liaison between the Director Development and internal teams, partners and partners managing expectations
- Assist with basic bookkeeping tasks, such as preparing invoices, reimbursements ,tracking expenses, and reconciling accounts.

Development-Specific Responsibilities:

- Assist the Director and the DO with fundraising efforts, including preparing materials for donors, ensuring timely communication, maintaining relationships with key stakeholders and tracking key milestones
- Assist with planning and organizing events, such as fundraising events and conferences and planning outreach opportunities for the Director at key events
- Provide assistance with various projects, including research, data collection, report preparation and liaison with collaborators

Other responsibilities:

- Provide logístical and other administrative support to Strategic Advisor, The Himalaya Initiative, for his travels as needed.
- Extend Institutional secretarial support to the Strategic advisor, The Himalaya Initiative.

**Qualifications**:

- 7 or more years of experience in an executive assistant or administrative support role, preferably in a nonprofit or development setting.
- Strong written and verbal communication skills.
- Proficiency in Google Suite, MS Office
- Strong organizational and time-management abilities.
- Experience in overseeing budgets and expenses with an understanding of basic accounting.
- Experience in developing internal processes and filing systems.
- Experience in planning and conducting small events
- Discretion in handling confidential and sensitive information.
- Ability to work independently as well as part of a small tight knit team
- A proactive, problem-solving mindset with keen attention to detail.
- Knowledge of nonprofit development and fundraising best practices is a plus
