**Position Overview**:
The **Executive Assistant (EA) to the Managing Director (MD)** is responsible for providing high-level administrative support to the MD, ensuring the smooth functioning of daily operations, and facilitating effective communication and coordination across the organization. This role involves handling sensitive information, managing schedules, coordinating meetings, preparing reports, and representing the MD in various capacities.
Key Responsibilities:
- **Administrative Support**:
- Manage and maintain the MD’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize documents, presentations, and reports for meetings and briefings.
- **Meeting Coordination and Documentation**:
- Organize and coordinate internal and external meetings, including preparing agendas and taking minutes.
- Follow up on action points and ensure tasks are completed within deadlines.
- Serve as the primary point of contact for the MD’s office, managing interactions with stakeholders.
- **Communication and Liaison**:
- Act as a liaison between the MD and various departments, ensuring smooth communication and information flow.
- Represent the MD in meetings, events, or conferences when required.
- Handle confidential and sensitive information with discretion and professionalism.
- **Project and Task Management**:
- Assist the MD in planning and executing strategic projects and initiatives.
- Monitor progress on key deliverables and provide regular updates to the MD.
- Prepare summaries, briefs, and reports for ongoing and upcoming projects.
- **Travel and Event Management**:
- Plan and coordinate the MD’s domestic and international travel itineraries, including accommodation and logistics.
- Assist in organizing company events, conferences, and client meetings as required.
- **Problem-Solving and Decision Support**:
- Conduct research and provide insights or recommendations to aid the MD in decision-making.
- Proactively identify and address challenges that may impact the MD’s workflow or priorities.
Qualifications and Skills:
- **Education**:
- Bachelor’s degree in MBA or a related field.
- **Experience**:
- 1-2 years of experience in a similar role.
- Proven track record of managing high-pressure environments and handling multiple responsibilities.
- **Technical Skills**:
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with project management tools and software is an advantage.
- **Core Skills**:
- Strong organizational and time management skills with attention to detail.
- Excellent written and verbal communication skills.
- Ability to multitask, prioritize, and meet deadlines effectively.
- Problem-solving skills and the ability to work independently with mínimal supervision.
