**Key Responsibilities**:
- **Administrative Support**:
- Manage office operations, including answering phones, scheduling appointments, and responding to inquiries.
- Organize and maintain filing systems (both digital and physical) for property listings, contracts, and client information.
- Maintain and update the database of clients, leads, and contacts.
- **Property Management Support**:
- Assist with listing properties on MLS (Multiple Listing Service), websites, and other real estate platforms.
- Prepare marketing materials, brochures, and flyers for property listings.
- Coordinate property showings, open houses, and client viewings.
- Help manage property listings by ensuring accurate information is available.
- **Client Relations**:
- Communicate with clients to set appointments, answer questions, and provide updates.
- Assist in the preparation of documents related to property purchases, leases, and sales.
- Provide excellent customer service to clients throughout the buying or selling process.
- **Transaction Coordination**:
- Assist with processing paperwork related to property transactions.
- Track the progress of sales transactions, ensuring that deadlines and timelines are met.
- Coordinate with title companies, inspectors, lenders, and other professionals involved in transactions.
- Prepare and review documents for compliance with regulations and standards.
- **Marketing and Social Media**:
- Assist in the creation of marketing campaigns for property listings on social media, websites, and newsletters.
- Ensure the proper presentation of listings with quality photos and descriptions.
- Coordinate open house events and other promotional activities to increase exposure for listings.
- **Financial Support**:
- Assist with invoicing, budgeting, and tracking commissions and payments.
- Help agents prepare and review financial documents, such as contracts and closing statements.
**Skills and Qualifications**:
- **Strong Organizational Skills**: Ability to manage multiple tasks and prioritize effectively.
- **Communication Skills**: Excellent verbal and written communication to interact with clients and vendors.
- **Real Estate Knowledge**: Understanding of real estate practices, terminology, and regulations.
- **Tech Savvy**: Proficient in using real estate software, MS Office Suite, and social media platforms.
- **Attention to Detail**: Ensure accuracy in paperwork, listings, and transactions.
- **Time Management**: Ability to handle various responsibilities efficiently and meet deadlines.
**Education & Experience**:
- A high school diploma or equivalent; an associate degree or bachelor's degree may be preferred.
- Prior experience in administrative support or real estate is often beneficial but not always required.
- Certification or licensing in real estate may be a plus in some cases.
