Export Documentation Executive

**Job Purpose**:
The Export Documentation Officer is responsible for managing all the paperwork and documentation required for international shipments. The role ensures compliance with all export regulations, smooth customs clearance, and timely delivery of goods to international clients. The officer will work closely with the export, logistics, and sales teams to maintain accuracy and efficiency in the export process.
**Key Responsibilities:Export Documentation Preparation**:
- Prepare and manage all necessary export documentation, including commercial invoices, packing lists, export licenses, certificates of origin, bills of lading, and any other documents required by customs or regulatory authorities.
- Ensure that all documentation complies with international trade regulations, country-specific requirements, and customer specifications.
- Coordinate with freight forwarders, shipping companies, and customs brokers to ensure timely and correct documentation for shipments.
**Customs and Compliance**:
- Ensure proper classification of goods for export based on HS codes and customs tariffs.
- Stay up to date with international shipping regulations, customs duties, and import/export restrictions.
- Liaise with customs authorities to resolve any issues or discrepancies related to export documentation or shipments.
- Monitor export documentation processes to ensure they are accurate, complete, and in compliance with all applicable laws and regulations.
**Shipping Coordination**:
- Coordinate with the logistics and shipping teams to ensure smooth export operations and timely dispatch of goods.
- Track shipment statuses and provide updates to internal teams and customers.
- Review export shipments for accuracy and ensure proper labeling and documentation are attached to the goods before departure.
**Record Keeping & Reporting**:
- Maintain accurate records of all export documentation, invoices, and shipping information for audit purposes.
- Prepare regular reports for management detailing export activities, shipping volumes, and any issues related to customs clearance or compliance.
- Assist in the preparation of export performance metrics and identify areas for improvement in documentation and export procedures.
**Customer & Vendor Communication**:
- Serve as a point of contact for customers, vendors, and shipping partners regarding any queries about export documentation, shipment status, or customs clearance.
- Resolve issues or disputes that may arise during the documentation or shipping process.
- Ensure clear communication with customers about expected delivery times, costs, and any issues affecting shipments.
**Qualifications & Skills**:
- Bachelor’s degree in Business, International Trade, Logistics, or related field (preferred).
- Proven experience (2-4 years) in export documentation, international shipping, or logistics, preferably in a similar industry.
- Strong knowledge of export/import regulations, customs documentation, and international trade requirements.
- Excellent organizational skills with attention to detail.
- Proficiency in MS Office and export management software.
- Good understanding of shipping terms such as Incoterms.
- Ability to work independently and as part of a team.
- Strong communication and negotiation skills.
- Ability to handle high-pressure situations and meet deadlines.

Pay: ₹20,000.00 - ₹35,000.00 per month
