We’re seeking a future team member for the role of Administrative Assistant - Newton Administrative Services to join our BNY Mellon India Newton Operations team (for Newton Business Administration)

**Team Synopsis**

The Newton Business Administration team is responsible for providing efficient and high-quality administrative services to Newton employees in all Newton locations to ensure that the administrative burden on key stakeholders, including senior leaders and specialised business areas, is minimised so focus can be on revenue generation and high impact deliverables.

The team achieves this by providing a bespoke service to certain named senior individuals which is delivered by a dedicated senior administrator in the UK or US, and a centralised team of administrators that provide a pooled service for all other Newton employees. The pooled service - the Newton Administrative Services team - is provided by the BNY Mellon India Newton Operations team and operates as two sub-teams each working an overlapping shift pattern to provide full business hours coverage across the UK and US. In close collaboration with the Newton Business Administration team, the Newton Administrative Service team offers exceptional service standards to its stakeholders, delivering administrative services that provide ongoing increased efficiencies and economies of scale.

The Administrative Assistant is positioned in the Newton Administrative Services team. On request from a Newton stakeholder, the team will complete general administrative tasks or support the stakeholder to navigate through the self-service options that are available. Tasks undertaken tend to be those that are routine and high volume. The team will respond to all requests within an agreed service level timeframe. Where other Newton-wide administrative tasks have been centralized for efficiency, the Newton Administrative Services team will also complete these.

The Administrative Assistant is responsible for ensuring that all allocated work and incoming issues are dealt with without risk to the company, in an efficient manner and to the satisfaction of all internal and external stakeholders; that effective checklists and procedure documents are maintained; and that a continuous process improvement approach is clearly demonstrated.

**In this role, you’ll make an impact in the following ways:
The Administrative Assistant is required to complete the day-to-day work of the Newton Administrative Services team as follows:
- Responding to stakeholder requests for administrative support within the agreed service level timeframes. Requests will be sent to a Shared In Box and will include (but are not limited to) the following:

- Accommodation bookings
- Restaurant and venue bookings
- Complex room booking requests and catering requirements.
- Expense submissions
- Allocation of (digital) hardcopy post
- Stationery and business card orders
- Courier services bookings
- Subscription procurements
- Invoice processing
- New joiner set-ups
- IT requestsSupporting stakeholders to utilise the BNY Mellon centralised administrative resources e.g., Reserve Space, Access Hub, MyHR and other ‘self-service’ tools.Sign-posting stakeholders to other BNY Mellon resources and contacts e.g., (people-related) corporate policies, on-line training offerings, and building facilities services.Completing Newton-wide (primarily employee-related) administrative tasks that have been centralised, which includes (but is not limited to):

- Office access card control
- Administration of Employee Award programmes for long service and exam recognition
- Monitoring and communication of Newton joiners and leavers, in order that downstream processes are updated within the Newton business

The Administrative Assistant is also required to:
- Represent the Newton Administrative team in meetings (internal) when required and demonstrate effective relationships with Newton colleagues and other BNY Mellon areas.
