Job Responsibilities

The Billing & Weighbridge Operator is responsible for ensuring accurate weighing of all

incoming and outgoing material trucks, generating precise invoices, delivery challans, and

maintaining up-to-date dispatch documentation in the ERP system. Acting as a critical link

between warehouse operations, dispatch, and accounts, this role ensures seamless vehicle

movement, correct billing, and statutory compliance, thereby enabling timely and error
- free deliveries to customers and maintaining stock integrity across the warehouse.

**Weighbridge Operations**
- Operate the weighbridge system for all incoming and outgoing vehicles.
- Accurately record gross, tare, and net weights of trucks carrying rebar bundles, coils, cut & bend material, weldmesh, and raw material coils.
- Ensure vehicle positioning for correct weighing and avoid misreads or double weighing.

**Billing & Documentation**
- Generate delivery challans, invoices, and gate passes as per dispatch schedule.
- Maintain accurate records of weighment slips, dispatch documents, and ERPentries.
- Reconcile weighbridge data with billing entries daily for dispatch accountability. Coordination
- Coordinate with dispatch team, warehouse supervisors, and drivers to ensure smooth vehicle movement.
- Communicate with sales, customer service, and logistics teams to release documents promptly for customer vehicles.

Compliance & System Entries
- Ensure that all weighing and billing comply with company SOPs, customer requirements, and statutory norms.
- Update ERP or Tally systems with weighment and billing data in real-time to maintain stock accuracy.
- Record Maintenance & Reporting
- Maintain weighbridge logbooks, calibration records, and statutory weighment certificates.
- Generate daily dispatch reports, weighbridge summary reports, and billing registers for management review.

Safety & Housekeeping
- Ensure weighbridge area cleanliness, free vehicle movement, and adherence to safety standards.
- Report any weighbridge malfunction or software issues to plant IT or maintenance team immediately.

Desired Academic Qualifications
- Bachelor’s degree; Diploma acceptable with relevant experience.

Desired Work Experience

Minimum 3-5 years in weighbridge operations, billing, and dispatch documentation

**Key Performance Indicators**
- Zero errors in gross, tare, and net weight entries.
- 100% invoices and delivery challans generated within dispatch timelines.
- Real-time and error-free weighment and billing data entry in ERP/Tally.
- Zero documentation gaps or discrepancies during internal or external audits.
- Stock and dispatch reconciliation variance within permissible limits (0-0.5%).
- No delays in vehicle movement due to billing or weighbridge operations.
- Daily, weekly, and monthly weighbridge and billing reports submitted on time.
- Zero safety incidents or operational non-compliances at weighbridge area.
- 100% up-to-date calibration and statutory weighment certificates maintained.
- No customer complaints due to billing or dispatch documentation errors.
