Now, we’re looking for YOU—a detail-oriented and proactive Dispatch Executive who thrives in high-pressure environments and understands the importance of flawless execution in supply-chain operations.
**The Role**
We are seeking a **meticulous and organized Dispatch Executive** to manage the safe, compliant, and timely dispatch of pump systems, spares, and accessories. This role is vital to ensuring smooth supply-chain flow, coordinating with transporters, customers, and internal teams. Reporting to the Operations Manager, you will be responsible for documentation, transporter negotiations, and proactive customer follow-ups to guarantee delivery success.
This role requires precision, quick decision-making, excellent coordination, and customer-first thinking in a dynamic manufacturing environment.
**Key Responsibilities**
- Ensure **on-time, damage-free dispatch** of pump systems, spares, and accessories.
- Verify packing standards and ensure appropriate labeling (Fragile, Handle With Care, Top/Bottom, etc.).
- Generate invoices in **Oracle ERP** and create **E-way bills** on GST portal.
- Maintain and update the **Dispatch Register** for traceability.
- Coordinate with **Production, Sales, and Accounts** teams to ensure dispatch readiness.
- Book transporters/couriers, negotiate rates, and ensure timely sharing of LR copies & tracking details.
- Share dispatch information proactively with customers and follow up for **delivery confirmations**.
- Maintain and submit records: Invoice copies, LR copies, E-way bills, delivery confirmations, and monthly turnover reports.
- Provide monthly segregated turnover reports and assist in QQIC reporting.
- Resolve courier/transporter issues and escalate critical matters to the Operations Manager.
- Ensure physical dispatch documents are submitted to the Accounts Department.

- Oracle ERP (Invoice Module).

- Proficiency in MS Office (Excel for reports, Outlook for communication).
- Understanding of logistics, packaging, and transportation practices.
- Strong documentation and record-keeping habits.

**Experience**:
- 1+ years in Dispatch/Logistics within a manufacturing/industrial equipment company.
**Qualification**:
- Any Graduate (B.Com / BBA / Diploma in Logistics preferred).
**Knowledge**:
- ERP systems (Oracle preferred).
- Dispatch and compliance documentation.
- Basic logistics and packaging standards.
**Physical Requirement**:
- Ability to check and verify dispatch area readiness.
- Occasional handling of small spares.
- Ability to travel occasionally for transporter/vendor coordination.
**Key Performance Indicators (KPIs)**
- On-time dispatch percentage.
- Zero-damage delivery ratio.
- Accuracy in invoice and E-way bill generation.
- Timely customer delivery confirmations.
- Accuracy of monthly turnover reporting.
- Transporter & customer satisfaction levels.
