**Purpose of this role**:
- The Executive Admin cum Receptionist will be responsible to ensure efficient internal and external communication while managing receptionist and clerical duties at the front desk. As the first point of contact, you create a positive impression for visitors and handle various tasks, including office coordination and basic bookkeeping. Strong organizational and multitasking skills are essential for success in this role.
**Roles and Responsibilities** - The roles and responsibilities of the Executive Admin cum Receptionist will be to,
- Welcome and assist visitors, interviewers, and other guests.
- Make necessary phone calls to vendors and manage relationships with external suppliers.
- Issue and manage access cards for employees and visitors
- Maintain and monitor office supplies, housekeeping supplies, coffee machine stock, and library books.
- Provide daily instructions to housekeeping staff and ensure cleaning procedures are followed.
- Oversee the maintenance and servicing of office equipment such as coffee machine, AC, water dispensers, genset (including fuel monitoring), and electricity backup systems.
- Handle incoming and outgoing couriers, ensuring proper tracking and entry of records
- Ensure timely payment of utility bills (Electricity Board, etc.) and track payment confirmation from vendors.
- Send invoice bills to designated personnel (e.g., Finance Manager) and update quotations for expense approvals.
- Generate and submit employee’s attendance report.
- Maintain and manage petty cash for office expenditures.
- Assist in processing housekeeping and other staff salaries (e.g., security, maid).
- Manage stock and order supplies for office stationery, water, milk, and other essentials.
- Assist with printouts and document preparation as required.
**Secondary Responsibilities include**,
- Manage the day-to-day operations of the office, ensuring a productive and organized environment.
- Plan and coordinate office events such as team-building activities, meetings, and conferences.
- Assist with onboarding new employees by preparing workstations, office supplies, and access credentials.
- Manage meeting room bookings and prepare rooms for meetings and events as required. Requirements and Skillset
- 2+ years of experience in office administration or a similar role.
- High school diploma or Graduate; education in business administration is a plus.
- Good written and verbal communication skills. - Strong organizational and time-management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Basic knowledge of bookkeeping and office management systems.
- Ability to multitask and handle a variety of tasks efficiently.
Pay: ₹8,177.60 - ₹30,778.82 per month
