**Job Title - Tender Executive**

**Roles & Responsibilities**

1. Tender Management:

- Conduct searches and submissions of tenders on GEM Portal, online platforms, and through physical channels.
- Ensure meticulous follow-up on submitted or pending tenders with internal and external teams.

2. Communication and Coordination:

- Engage in discussions with management regarding tender strategies, submitting well before deadlines.
- Facilitate communication with clients nationwide, understanding their needs, and securing GEM orders.

3. GEM Portal Operations:

- Manage OEM and product registrations on the GEM portal.
- Continuously search for and register new products on the GEM portal for organizational inclusion.

4. Client Meetings:

- Conduct meetings with clients or potential clients across India to comprehend their requirements and secure orders through the GEM portal.

5. Financial Follow-up:

- Follow up on EMD/BG refunds, payments, and ensure a comprehensive understanding of all products.
- Monitor and report financial aspects to GM & Directors daily.

6. Prebid Activities:

- Attend Prebid meetings to gather insights and requirements for effective bid preparation.
- Respond promptly to queries from vendors, customers, and clients.

7. Documentation and Coordination:

- Coordinate, prepare, and compile bid submission documents, tender questionnaires, and prequalification.
- Collate essential tender information and references from diverse sources for submission.

8. Deadline Adherence:

- Ensure strict adherence to tender submission deadlines, including thorough checking, binding, packing, and preparation of outgoing submissions.

9. Tender Filtering:

- Collaborate with GM and Directors to filter tenders for participation, ensuring alignment with organizational goals.

10. Government Liaison:

- Coordinate with government officials and dealers for timely updates on tender related activities.

11. Government/Semi Government Tender Handling:

- Handle and submit online/offline tenders for various government and semi government institutes, such as Defense, Railways, Government Hospitals, and State Governments.

12. Reporting and Ad Hoc Tasks:

- Provide regular reports to GM & Directors within predetermined time slots.
- Undertake ad hoc tasks and activities as assigned by the management.

**Qualifications and Skills**:

- Diploma In Electronics/Electricals or BE in Electronics
- Proven experience of 3 years in tender management and GEM portal operations.
- Excellent communication, negotiation, and organizational skills.
- Knowledge of government procurement processes and compliance.
- Ability to multitask and meet tight deadlines.
