**Job Title**: Personal Secretary to Managing Director
**Location**: Chennai

**Reporting To**: Managing Director
**Key Responsibilities**:
Ø Manage the MD’s calendar, scheduling internal and external meetings, appointments, and business travel.
Ø Organize and coordinate logistics for domestic and international travel, including flights, accommodation, and visa arrangements.
Ø Serve as the primary point of contact between the MD and internal/external stakeholders, including clients, government bodies, and port authorities.
Ø Maintain confidentiality in handling sensitive documents and communications.
Ø Assist in preparation and follow-up of board meetings, conferences, and industry events.
Ø Track action items and ensure timely follow-ups.
Ø Maintain records, filing systems, and databases related to executive operations.
**Requirements**:
Ø Master’s degree in Business Administration, Management, or related field.
Ø 15+ years of experience as a Secretary / Personal Secretary / Executive Assistant, preferably in the shipping or logistics industry.
Ø Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Ø Excellent communication and interpersonal skills.
Ø Strong multitasking, organizational, and time management skills.
Ø High level of professionalism, discretion, and integrity.
**Preferred Qualifications**:
Ø Familiarity with shipping industry terms, operations, and stakeholders.
Ø Experience handling executive-level support in a multinational or marine environment.
