Job Overview:
Key Responsibilities:
Executive Support: Provide comprehensive administrative support to the Director, including managing calendars, scheduling meetings, preparing reports, and handling sensitive correspondence.

Office Management: Oversee the day-to-day operations of the Director's office, ensuring smooth communication between departments and external stakeholders.

Meeting Coordination: Schedule and coordinate meetings, prepare agendas, take minutes, and follow up on action items.

Travel Arrangements: Organize and manage travel plans, including booking flights, accommodations, and itineraries for the Director and other executives.

Document Preparation: Prepare and edit correspondence, presentations, and reports as required. Maintain and organize confidential files and documents.

Communication Liaison: Act as the primary point of contact between the Director’s office and internal/external clients, demonstrating professionalism and a customer-focused approach.

Event Coordination: Assist in planning and coordinating company events, conferences, and meetings hosted by the Director.

Research & Data Management: Conduct research, compile data, and prepare briefs and reports for the Director’s review.

Task Prioritization: Manage multiple tasks, prioritize workload, and handle urgent matters with discretion and efficiency.

Qualifications:
Education: Any Post Graduate. Certification in Secretarial Practice or related education is highly preferred.

Experience: A minimum of [Insert years] years of relevant experience managing the Director’s office or providing administrative support in a medium to large organization.

Communication Skills: Exceptional verbal and written communication skills with the ability to interact effectively with stakeholders at all levels.

Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.

Interpersonal Skills: Strong organizational and time-management abilities, with a pleasing personality and a professional demeanor.

Attention to Detail: High degree of accuracy and attention to detail in managing confidential information and performing administrative tasks.

Flexibility: Ability to adapt to a dynamic work environment and manage multiple priorities with mínimal supervision.

Preferred Skills:
Knowledge of office administration, secretarial best practices, and executive support procedures.

Experience handling high-level confidential matters with tact and discretion.

Strong problem-solving skills and the ability to anticipate the needs of the Director and the organization.
