**JOB DESCRIPTIONS**
**Customer Service**:
- Handling daily ocean and air import and export shipments from quoting until invoicing
- Requesting rates from carriers, airlines, truckers, coloaders, agents etc. and quoting transport services to client according to their inquiries and needs;
- Providing expert advice to clients regarding logistic processes, documentation, inspections, letters of credit, or any other shipping questions which may arise;
- Booking, arranging for or confirming cargo space with carriers;
- Arranging pick up of cargo to port or delivery of cargo to final destination;
- Preparing and/or processing export declarations, including the required ‘electronic export information’;
- Assisting/ forwarding all necessary information and documentation to Customs Broker in order to clear shipments in accordance with the government regulations;
- Preparing and/or processing common carrier bills of lading or other shipping documents;
- Issuing bills of lading or equivalent documents;
- Preparing or processing consular documents or arranging for their certification;
- Preparing or processing delivery orders;
- Preparing and/or sending advance notifications of shipments or other documents to agents, shippers or consignees as required;
- Coordinating the movement of shipments between origin and destination;
- Tracking shipments and sending regular status reports to clients;
- Data input/ logging files;
- Communicating with all external and internal partners as well as customers to ensure smooth transport arrangement;
- Operating according to our Standard Operation Procedures
**Sales Executive**:
- Responsible for developing a plan to achieve sales target
- Responsible for carrying out prospecting calls
- Responsible for establishing and managing relationships with customers in need of the firm’s freight transportation services
- Maintain consistently positive interactions to nurture customer relationships
- Take ownership of customer issues and follow-through till resolution
- Represent the firm in negotiating and building relationship with shippers and carriers
- Responsible for aiding successful pick-up and delivering, and over the road assistance while customers’ freight moves across.
- Perform Cold-calling and work to build a book of businesses.
9. Knowledge of strategic account sales techniques and processes including understanding customer needs, overcoming objections, developing business cases, negotiating and closing complex deals
10. Ability to manage complex sales cycles from beginning to end.
11. Outstanding presentation and communication skills, be able to convince prospects.
12. Strong communications and interpersonal skills, Process-orientation, Business acumen.
**Admin**:
- Answering phones calls and taking messages
- Welcoming all visitors and interacting with them
- Managing scheduling and appointments
- Arranging meetings and other events
- Managing mail/fax communications
- Managing traditional paper and/or electronic filing systems
- Performing basic bookkeeping/clerical duties
- Setting and managing the daily schedules and calendars of company executives
- Preparing and/or editing documents, such as expense reports, memos and invoices
- Creating spreadsheets, managing databases, preparing presentations
- Negotiating with vendors
- Order necessary office supplies
- Managing corporate stock rooms and/or libraries
- Managing videoconferencing, fax communications and office equipment
- Reviewing incoming documents
- Conducting research
- Training and/or supervising clerical workers
**HR**:
1. Support the development and implementation of HR initiatives and systems
2. Provide counselling on policies and procedures
3. Be actively involved in recruitment by preparing job descriptions, posting ads and managing the hiring process
4. Create and implement effective on boarding plans
5. Develop training and development programs
6. Assist in performance management processes
7. Support the management of disciplinary and grievance issues
8. Maintain employee records (attendance, etc.) according to policy and legal requirements
9. Review employment and working conditions to ensure legal compliance
**Documentation**:
1. Arranging Transport vehicles.
2. Give planning, coordination with plant for dispatches.
3. Communicating with management for Liner activities.
4. Preparing daily reports on shipments delivery schedule.
5. Preparation of Export Documents (Pre and Post Shipment Documents)
6. Co-ordination with the suppliers and shipping agents for the execution of shipment and other export related responsibilities.
7. Ability to work with little supervision and track multiple processes.
8. Co-ordinate with customer for custom clearance.
9. **Identify vessels on daily/ weekly basis to start Import General Manifest process prior vessel arrival.**
- Check or coordinate with respective Port of Loading / Vessel Agents for vessel load list / confirmation.
