Front Office Executive

**What this job involves**:
Serving on the front lines of customer service
Are you a people person who can make daily interactions such a breeze?
In this role, you’ll be in charge of one of the busiest places in the office—the front desk. Constantly on the go, you’ll give our visitors a warm welcome, and guide them and our employees along the way. In other words, you will set the benchmark in giving our company a good first impression.
Throughout the day, you will also handle all incoming and outgoing calls, including distribution. Therefore, it is essential to remain professional and polite in the way you present yourself, from appearance to behaviour.
You will spend each day looking at how you can maintain and improve the front office. Part of your checklist is to get your hands on the latest magazines and newspapers to be displayed in the reception.
**Primary focus**: Manage Employees, Visitors and Guests to Support the following office operations:
Office Space tool Meeting room booking Visitor management system ( all Onshore Visitors) Courier Services
Front office Management
Be the first point of contact for any visitors visiting GSD
Coordinate couriers / packages and food deliveries as needed
Preferabl from a Hotel back ground
Meeting Room Booking
Overall set up of meeting rooms
Coordinating with the IT team on functionality of AV
Coordinating for booking of meeting rooms for visitors
Oversee for any special setup required
Coordinate staff facility and amenities needs
Setup security access badges
Track and manage activate guest security badges - deactivate as needed
Coordinate ordering and distribution of business cards
CW Daily attendance tracker
Coordination with HR and CW administrators
Coordinate for office supplies e.g. stationery etc.
Meeting and events
Support in booking of large meetings rooms basis on the usage.
Coordinate with different stake holders on different requirements related to set up, special menus and day events
Manage Day to Day meeting room set in all types of rooms on L 15, L 17 and L 9.
Ensure on ground logistics for all the visitors including office transfers
Point of contact for all the admin staff/Host for any special requirement related to meetings.
Ground Logistics
Coordinate with the EA to ensure their airport & office transfers are booked
Be the first point of escalation for all services related issues on ground transportation for visitors.
A highly skilled professional
You should be a graduate in any discipline and have one to five years’ experience in front desk management or reception. Proven experience with continuous improvement initiatives and client reporting is also vital for this role. If you’re familiar with occupational safety requirements matched with strong computer literacy and the ability to manage activities using different systems, then you might be the best fit for this job.
