**Key Responsibilities**:
- Front Desk Executive Duties:_
- Greet and assist visitors, clients, and guests, ensuring a warm and professional welcome.
- Answer, screen, and direct phone calls to appropriate departments or individuals.
- Manage the reception area, ensuring it is clean, organized, and presentable.
- Handle incoming and outgoing mail, packages, and deliveries.
- Maintain a log of visitors and ensure security procedures are followed.
- Coordinate and schedule appointments, meetings, and conference rooms.
- Assist with basic inquiries and provide information about the company’s services, policies, and procedures.
- Maintain office supplies and handle general requests from employees.
- Office Administrator Duties:_
- Perform general administrative tasks such as filing, data entry, document management, and maintaining office records.
- Assist in preparing reports, presentations, and meeting materials.
- Maintain office equipment, coordinate repairs, and ensure the workplace is fully functional.
- Handle office inventory and reorder supplies as needed.
- Support HR and finance departments with administrative tasks such as maintaining employee records, processing invoices, and handling payroll-related paperwork.
- Assist in organizing company events, meetings, and travel arrangements.
- Support the smooth operation of office activities and assist in resolving any operational issues.
**Qualifications**:
- High school diploma or equivalent; a degree in Business Administration or related field is a plus.
- Proven experience in a front desk, receptionist, or administrative role.
- Strong interpersonal and communication skills (both verbal and written).
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
- Excellent organizational and time-management skills.
- Ability to multitask and handle changing priorities in a fast-paced environment.
- Strong attention to detail and problem-solving ability.
- Professional and courteous demeanor, with a customer-first attitude.
- Ability to maintain confidentiality and handle sensitive information with discretion.
**Working Conditions**:
- Office-based, typically working hours of 10:00 - 7:00 PM
- Occasional overtime may be required based on office needs or events.
