**Main Duties & Responsibilities**
Monitor and maintain records, contracts, agreements, and documents per retention policy.
Maintenance of attendance records and assistance for payroll system.
Providing administrative support to other departments and managers.
Ensure safety stock of stationary, pantry items and re-order department supplies.
Lead new joiners onboarding activity, their Induction and seating arrangements.
Updating admin related information/data into the MIS and prepare reports / presentations.
Provide support for employee engagement activities and event management.
Maintain and supervise cleanliness / 5’s of office premise and equipment.
Monitor and supervise maintenance of Office equipment as per schedule and contracts.
Assist and supervise travel desk to make travel arrangements by coordinating with travel agents, online bookings, and employees. This also includes VISA processing and paperwork.
Support training events includes fire protection, medical emergency or other as needed.
Ensure compliances training and performance management processes are completed on time by all.
Supervise domestic and international courier / shipping service including custom clearance.
Check and monitor monthly expenses including petty cash, admin expenses, courier and shipping, and employee business travel claims.
Support procurement process including local shopping, negotiating with vendors, raising purchase orders, delivery of goods and final payment to vendor.
Identify and execute cost saving in recurring or non-recurring admin expenses.
Monitor and report non-adherence of rules or policies by employee to line manager and HR Manager.
Supervise onsite security and CCTV surveillance system.
**Qualifications**
Graduate / Diploma in administration.
Minimum of 5 years’ experience in office administration and travel desk.
Basic computer skills (Excel, Word, MSOffice)
Excellent communication skills with English proficiency
Team Player in matrix organization.
Knowledge of MIS and performance management system.
