Shipment Coordinator

Shipment Coordinator (Exports) is responsible for managing and coordinating all aspects of the export shipment process. This role involves overseeing the preparation, documentation, and logistics required to ensure timely and accurate delivery of goods to international markets. The position works closely with freight forwarders, customs brokers, and other stakeholders to ensure compliance with international trade regulations and the smooth execution of shipments.
**Key Responsibilities**:
- **Export Documentation Management**:
- Prepare and review export documentation such as commercial invoices, packing lists, certificates of origin, export declarations, and shipping instructions.
- Ensure all required documentation is accurate, complete, and compliant with export regulations and customs requirements.
- **Shipment Coordination**:
- Plan, schedule, and monitor shipments to ensure timely dispatch.
- Coordinate with freight forwarders, customs brokers, and carriers to ensure smooth transportation of goods.
- Track and resolve any shipment delays or issues during transit.
- **Customs Compliance**:
- Ensure compliance with all export regulations, including customs, tariffs, and trade agreements.
- Work with customs authorities to ensure timely clearance of shipments.
- Keep up to date with changes in international trade laws, tariffs, and shipping regulations.
- **Inventory and Documentation Control**:
- Coordinate with internal teams (sales, warehouse, and logistics) to ensure inventory is available and properly packed for shipment.
- Maintain an organized filing system for all export-related documentation, including shipping records, invoices, and customs paperwork.
- **Customer Communication**:
- Communicate with customers and internal stakeholders regarding the status of shipments, delivery schedules, and any issues that may arise.
- Provide updates on shipment tracking and address any customer concerns or queries promptly.
- **Logistics Optimization**:
- Assist in selecting the best carriers and routes based on cost, transit time, and reliability.
- Work to optimize shipping processes to reduce costs and improve efficiency.
- **Reporting and Analysis**:
- Maintain accurate shipment records and provide regular reports on shipment status, delays, and performance metrics.
- Prepare and present reports on export performance to management.
- **Problem Solving and Issue Resolution**:
- Troubleshoot and resolve any issues related to shipments, including delays, damage, or lost goods.
- Coordinate with relevant parties to ensure prompt resolution of problems.
**Skills and Qualifications**:
- **Education**:
- A bachelor's degree in logistics, business, international trade, or a related field is preferred. Equivalent experience may be considered.
- **Experience**:
- 2+ years of experience in export logistics, international trade, or related field.
- Knowledge of export regulations, customs procedures, and documentation.
- Experience with export management systems and logistics software.
- **Skills**:
- Strong organizational and time management skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to handle multiple tasks and prioritize effectively.
- Strong problem-solving skills and the ability to work under pressure.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
Pay: ₹20,000.00 - ₹25,000.00 per month
