Executive Assistant to CEO

**Main Objective**: Ensure the CEO and Leadership Team (LT) office runs smoothly by anticipating needs, exercising sound judgment, and balancing multiple priorities. Refine workflows, processes, meeting cadences, tools, calendars, and communications to enhance CEO productivity.
**Key Responsibilities**:
- Serve as the primary point of contact for internal and external parties regarding the CEO's office.
- Provide executive, administrative, and development support to the CEO's office.
**Broad Activities**:
- Reporting & MIS.
- Value addition to CEO productivity.
- Managing CEO bills and travel logistics.
- Calendar management.
**Core Duties**:
- **Administrative Support**:
- Manage administrative tasks such as expense reports, data management, travel coordination, and calendar scheduling.
- Maintain infrastructure and utilities for the CEO’s office.
- Manage scheduling for the CEO/LT and work closely to support daily work routines.
- **Calendar & Travel Management**:
- Manage the CEO’s calendar for meetings, appointments, speaking engagements, and domestic/international travel arrangements.
- Handle all logistics related to travel (forex, insurance, visa processing, car bookings, etc.).
- **Communication & Coordination**:
- Draft, review, and send communications on behalf of the CEO/LT.
- Organize and prepare for meetings, including document preparation and logístical arrangements.
- Attend meetings, take notes, and draft minutes and summaries.
- **Project Support**:
- Provide input and data required for strategic decisions.
- Coordinate with department heads on project status and follow-ups.
- Prepare and submit expense reports, update invoice and revenue trackers.
- Manage special projects including creating PowerPoint presentations, spreadsheets, and agendas.
- **Office Management**:
- Ensure all correspondence and materials are produced in a timely and accurate manner.
- Maintain various records and documents for the CEO/LT.
- Organize team meetups, corporate events, and engagement activities.
- **Executive-Level Support**:
- Work closely with the CEO to keep them informed of upcoming commitments and responsibilities.
- Anticipate the CEO’s needs and manage shifting priorities.
**Skills & Abilities**:
- Strong organizational skills with attention to detail.
- Excellent written and verbal communication.
- Ability to manage multiple tasks seamlessly and work independently.
- Strong interpersonal skills with the ability to build relationships with diverse stakeholders.
- Ability to handle confidential information with discretion.

- Ability to manage competing priorities and meet deadlines in a fast-paced environment.
- Positive, professional demeanor with a team-player attitude.
**Additional Requirements**:
- Occasional travel may be involved.
- Must be proficient in handling all professional matters related to the CEO.
- Demonstrated ability to work in high-pressure environments and thrive in ambiguity.
**Job Types**: Full-time, Permanent
Pay: ₹2,400,000.00 - ₹2,600,000.00 per year
