Personal Assistant to CEO

Job Summary:
Location: Gurugram - Sector 62
Experience: 6-10 years
Key Responsibilities:
- **Administrative Support**:
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate and prepare materials for meetings, presentations, and conferences.
- Draft, review, and edit correspondence, reports, and other documents.
- **Meeting Coordination**:
- Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Ensure the CEO is well-prepared for all meetings and engagements.
- Arrange and manage logistics for internal and external meetings, including virtual meetings.
- **Travel Management**:
- Plan and book domestic and international travel for the CEO, including flights, accommodation, transportation, and itineraries.
- Ensure all travel arrangements are efficient and cost-effective.
- Prepare travel expense reports and manage reimbursements.
- **Project Management**:
- Assist with the planning and execution of special projects and initiatives as directed by the CEO.
- Track project progress and ensure deadlines are met.
- Conduct research and compile information to support the CEO’s decision-making process.
- **Confidentiality and Discretion**:
- Handle sensitive and confidential information with the utmost discretion.
- Maintain a high level of professionalism and integrity in all interactions.
- **Communication**:
- Act as a liaison between the CEO and internal/external stakeholders.
- Facilitate effective communication within the executive team and across the organization.
- Represent the CEO in a professional and courteous manner in all interactions.
- **Office Management**:
- Ensure the executive office operates smoothly and efficiently.
- Manage office supplies, equipment, and facilities for the executive office.
- Coordinate with other administrative staff to support overall office management.
- **Relationship Management**:
- Build and maintain positive relationships with key stakeholders, clients, and partners.
- Assist in organizing corporate events and functions as needed.
Qualifications:
- **Education**: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- **Experience**: Minimum of 3-5 years of experience in an executive assistant or personal assistant role, preferably supporting C-level executives.
- **Skills**:
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Strong problem-solving skills and attention to detail.
- Ability to work independently and as part of a team.
Pay: ₹25,000.00 - ₹62,125.72 per month
