As an Office Coordinator, you are not just running an office — you are designing the everyday experience of a world-changing team. You will work closely with our People and Culture team to ensure that our workspace is a seamless extension of our mission: to inspire, empower, and create lasting impact.
Your role will be a dynamic mix of office management, people experience, operational excellence, and program leadership for our prestigious Internship and Volunteer programs.

**Key Responsibilities**
- Office Environment Management:
- Keep our workspace beautiful, functional, and inspiring daily. Ensure cleanliness, functionality, and a welcoming atmosphere at all times.
- Facilities and Vendor Management:
- Oversee supplies, vendor relationships, food orders, repairs, and minor upgrades. Think of yourself as the CEO of the Office.
- Front Desk & Guest Experience:
- Be the first impression of Bal Utsav. Answer calls, welcome visitors, and ensure every guest interaction reflects our values.
- Volunteer Program Leadership:
- Own the volunteer journey end-to-end — from recruitment and onboarding to engagement and recognition. Ensure volunteers have meaningful, productive experiences.
- Internship Program Support:
- Assist in recruiting, onboarding, and mentoring top talent through our internship program. Keep our intern community thriving.
- Operational Excellence:
- Lend your planning and administrative skills to improve internal processes and support the wider Operations team.
**Must-Haves**
- Experience:
- 5-7 years of facility/office management experience in a fast-paced, mission-driven environment.
- Previous receptionist or front-office experience is essential.
- Prior exposure to customer service or office coordination is a strong plus.
- Skills:
- Outstanding spoken and written communication skills.
- Meticulous attention to detail. You spot the missing comma and the crooked photo frame.
- Proven ability to create and maintain efficient systems and processes.
