Administrative Assistant

**Role Summary**:
The administrative assistant in a manufacturing unit supports the efficient operation of the facility by performing a wide range of administrative and clerical tasks. This role ensures smooth coordination between departments, maintains records, and supports daily operational requirements.

**Key Responsibilities**:
**Administrative Support**:
Assist in the preparation and distribution of internal and external correspondence, reports, and documents.

Maintain and update office records, databases, and filing systems.

Manage office supplies inventory and place orders as needed.

**Coordination & Communication**:
Act as the primary point of contact between departments, ensuring effective communication.

Schedule and coordinate meetings, appointments, and conferences.

Assist in coordinating departmental activities and follow up on assigned tasks.

**Documentation & Record-Keeping**:
Maintain accurate records of attendance, leave, and employee data.

Assist with the preparation of production-related documentation, including work orders and inventory records.

Ensure compliance with company policies and document retention standards.

**Support Operations**:
Assist in the onboarding process for new employees, including documentation and orientation.

Coordinate with vendors and service providers for routine office maintenance.

Handle petty cash transactions and maintain records of expenses as required.

**Data Management**:
Update and manage data in ERP systems or other company-specific software.

Generate reports related to production, attendance, and administrative tasks as requested.

**General Office Duties**:
Answer and direct phone calls, and handle inquiries professionally.

Greet and assist visitors, ensuring adherence to company protocols.

Perform other clerical tasks such as photocopying, scanning, and mailing.

**Qualifications and Skills**:
Education: Bachelor’s degree or equivalent in business administration or a related field preferred.

Experience: Minimum 2 years of experience in an administrative or clerical role, preferably in a manufacturing environment.

Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint) and ERP software.

Organisation: Strong organisational and multitasking skills, with attention to detail.

Teamwork: Ability to work collaboratively across departments.

**Key Performance Indicators (KPIs)**:
Timely completion and accuracy of administrative tasks.

Efficiency in maintaining and updating records and databases.

Effective communication and coordination between departments.

Adherence to deadlines for reports and documentation.

Reduction in errors in production-related documents.

**Job Types**: Full-time, Permanent

Pay: ₹15,000.00 - ₹18,000.00 per month
