Position Overview:
The Executive Assistant (EA) provides high-level administrative support to the executive team, ensuring the efficient and effective operation of the office and contributing to the overall success of the organization. This position handles sensitive and complex responsibilities, manages multiple tasks simultaneously, and serves as a key point of contact for internal and external stakeholders.
Key Responsibilities:
Administrative Support:
Manage executive calendars, schedule meetings, and coordinate appointments, including prioritizing urgent matters.
Prepare agendas, take minutes, and track action items for executive meetings.
Draft, edit, and proofread correspondence, reports, and presentations for the executive team.
Screen and direct phone calls, emails, and inquiries, providing responses or routing them appropriately.
Travel Coordination:
Plan and book complex travel itineraries, including flights, accommodations, ground transportation, and other arrangements.
Prepare detailed travel itineraries and ensure executives are informed of all aspects of their schedules.
Process and reconcile travel expenses and reimbursements in a timely manner.
Project Management:
Assist in the planning and execution of special projects and initiatives as needed.
Provide research and gather data to support decision-making and project progress tracking.
Collaborate with various departments to achieve project goals and deliverables.
Stakeholder Management:
Serve as a liaison between the executive team and other staff, clients, vendors, and stakeholders.
Facilitate communication and maintain positive working relationships on behalf of the executives.
Represent the executive team in a professional and courteous manner.
Office Operations:
Manage and organize office operations and administrative processes to ensure smooth day-to-day functioning.
Handle confidential documents and information with discretion and professionalism.
Procure and maintain office supplies and ensure operational needs are met.
Qualifications:
Education : Bachelor’s degree in Business Administration, Communications, or a related field preferred.
Experience : Minimum of 3-5 years of experience in an executive support role or similar position.
Skills :
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook).
High attention to detail, with an ability to prioritize and handle multiple projects.
Discretion and a high degree of confidentiality.
Ability to work independently, with good judgment and initiative.
