Executive Assistant to the Founders

Role Summary:
We are seeking a highly organized and efficient Executive Assistant to support our three founders. The ideal candidate will act as a reliable right-hand person, helping manage their schedules, coordinate meetings, handle communications, and streamline various tasks. You will play a crucial role in ensuring smooth operations and enabling the founders to focus on strategic initiatives
Key Responsibilities:
Calendar and Schedule Management:
Efficiently manage and coordinate the calendars of all three founders.
Schedule and organize meetings, appointments, and events, ensuring optimal time management.
Anticipate scheduling conflicts and proactively resolve them.
Communication Handling:
Act as a key point of contact between the founders and internal/external stakeholders.
Draft, review, and manage emails, messages, and other communications on behalf of the founders.
Screen and prioritize phone calls and inquiries.
Meeting Coordination and Follow-up:
Prepare agendas, take detailed minutes, and provide summaries for meetings.
Follow up on action items and ensure timely completion of tasks.
Coordinate with different teams to gather updates and information as required by the founders.
Travel and Event Planning:
Organize domestic and international travel arrangements, including booking flights, hotels, and transportation.
Plan and coordinate events, both internal and external, such as client meetings, team gatherings, and workshops.
Project Support:
Assist in managing special projects and initiatives as directed by the founders.
Conduct research and compile reports or presentations when needed.
Monitor deadlines and ensure timely completion of projects.
Administrative Tasks:
Maintain and organize documents, files, and records.
Handle confidential information with discretion and professionalism.
Assist in office management tasks as required.
Qualifications and Skills:
Bachelor’s degree or equivalent experience.
3-5 years of experience as an Executive Assistant, preferably supporting senior executives or founders.
Excellent verbal and written communication skills.
Strong organizational skills with the ability to multitask and prioritize effectively.
High level of discretion and confidentiality.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
Ability to work independently and as part of a team in a fast-paced environment.
Strong problem-solving skills and a proactive attitude.
